Job Overview
As a People Shared Services Specialist with Global Mobility and Travel Focus at our organization, you will be a key driver of our Global Mobility Services in Manila. In this role, you will ensure immigration compliance across Germany, the US, Poland and other Hellofresh markets, manage visa applications and visa extensions, and provide customer-facing support to our internal employees on visa, mobility and business travel topics.
You'll be responsible for safeguarding compliance while also enhancing the employee experience through clear, proactive communication and close collaboration with stakeholders. Beyond case handling, you will contribute to process excellence, innovation, and continuous improvement.
Job Description- Own visa compliance processes and projects, including extensions and audits.
- Act as a first point of contact for employees, providing clear, timely, and solution-oriented guidance on immigration, relocation and business travel.
- Manage visa and work permit data throughout the entire employee cycle (onboarding, visa expirations, visa extensions, permanent residencies, etc.)
- Provide employees with information needed for visa extensions and permanent residencies using company materials and templates.
- Review employee documents for validity, completeness, and compliance, ensuring accurate and confidential record-keeping.
- Track all cases proactively to ensure data quality and legal compliance.
- Escalate unusual or urgent issues early and effectively to avoid delays or risks.
- Sort employee inquiries by urgency and complexity, ensuring swift resolution or escalation.
- Collaborate closely with the Global Mobility Center of Excellence and local HR teams to align on processes and share improvements.
- Keep HR systems (Workday and others) updated with permit-related documents and corrected as needed to maintain legal compliance.
- Ensure a clear and reliable flow of information to the relevant stakeholders in day-to-day activities.
- Support training, audits, and the creation/review of Standard Operating Procedures, when applicable.
- Drive process improvements and propose solutions that balance compliance with employee experience.
- Perform other related tasks as needed.
Important note:
This role focuses on EU, German and USA immigration laws. To support your success, we provide a structured onboarding program including curated training, reading materials, live demos and shadowing sessions with the Global Mobility team.
Qualifications- Bachelors degree in Human Resources, Psychology, Business Administration and/or related field.
- Minimum 3 years of solid Global Mobility or International HR experience, ideally in a regional or global scope.
- Strong experience and knowledge of HR processes, systems and tools within the various stages of the employee lifecycle.
- Has proven skills in managing, understanding, execution of ERP systems and tools, database functionality and reporting.
- Demonstrated experience in handling complex employee cases, compliance checks, and cross-border processes.
Competencies:
- A background in compliance, audit, or immigration is an advantage for this position.
- Knowledge and working experience in Workday are an advantage.
- Has experience in Microsoft Office and collaboration tools.
- Strong stakeholder management skills in a multi-cultural, global environment.
- Proactive problem solver with the ability to escalate unusual cases early and propose solutions.
- Clear, structured communication. Able to drive conversations with clear next steps, timelines and accountability.
- Analytical mindset and able to translate data into insights and action.
- Ability to work independently, while collaborating closely with team members and stakeholders.
