The Executive Assistant will prioritize inquiries, handle requests, adjust appointments, and devise creative solutions for various commitments. They will make informed judgments to ensure smooth day-to-day engagements.
Monitoring & Responding To Emails
The Executive Assistant will oversee the VP's mailbox, ensuring that all messages are addressed appropriately. They will filter incoming emails based on priority, maintaining professionalism in communication while implementing tools to enhance productivity.
Coordinating Meetings
When assembling meetings for strategic discussions among leadership, the Executive Assistant will take charge by coordinating with participants, scheduling mutually agreeable times, preparing detailed agendas, and ensuring that all pertinent data is available beforehand.
Handling Communication On Behalf Of The VP
The Executive Assistant will skillfully manage emails, calls, and messages effectively by screening communications to prioritize urgent matters, allowing the CEO to concentrate on critical tasks and strategic objectives.
Organizing Travel Arrangements & Itineraries
The Executive Assistant handles all travel logistics for VPs on the move, from booking flights to securing accommodation and arranging ground transportation. With an eye for efficiency and comfort, EAs ensure that travel plans align with the VP's strategic goals and operational needs.
Conducting Research & Preparing Reports
The Executive Assistant plays a crucial role in decision-making by supplying the VP with relevant data. This includes analyzing industry trends, competitor activities, and customer feedback to create insightful reports. Responsibilities encompass compiling market research and summarizing customer preferences into comprehensive documents that highlight potential risks and opportunities, thereby facilitating informed strategic planning.
Assisting With Presentation Preparation
Crafting impactful presentations is essential for conveying key messages effectively. Maintaining Confidentiality & Discretion

Liaising With Internal & External Stakeholders

Handling Expense Reports & Budgeting
Accurately recording all business-related expenses, including travel and office supplies. The Executive Assistant ensures that expenditure aligns with company's financial targets while collaborating with the VP on budget planning for various projects.This involves analyzing financial data, creating reports, and presenting insights regarding the company's financial trajectory.
Research and propose new tools and technology
Identifying innovative tools and technology to enhance departmental functions is also an essential responsibility.
Social Media Tasks:
Managing content creation and scheduling for platforms such as LinkedIn, Instagram, Twitter, and others. This includes drafting posts, editing Visuals, submitting all social media content to the VP for review and approval prior to publishing, and ensuring consistency with the brand messaging.
Other Duties:
Perform general office duties as required such as managing files, maintaining records, and etc.
