JOB DESCRIPTION

Under immediate supervision of the Unit Head of the Administrative Unit of Administrative Service-Office of the Director (AS-OD), performs technical functions on assigned representations, follows detailed and procedures; with limited latitude for the exercise of independent judgement, performs simple but responsible sub-professional or professional work.

Functions and Responsibilities:

  1. Draft/prepare communications such as letter, correspondence, memoranda, feedback report, documentation report;
  2. Act as the designated Records Management Officer of AS-OD;
  3. Maintain files and records related to Administrative-Personnel Selection Committee (AS-PSC) documents;
  4. Custodian of 201 files of all AS personnel;
  5. Act as the Designated Property Officer of AS-OD;
  6. Act as one of the AS-PSC Secretariat responsible for the following task:
  1. Shortlisting of applicants;
  2. Preparation of Interview Summary Matrix;
  3. Preparation of Comparative Matrix;
  4. Background Check
  1. Act as Alternate Performance Management System Focal, responsible for the review of IPCRF and CCEF of AS personnel;
  2. Act as Alternate ARTU focal;
  3. Act as one of the AS PRAISE Secretariat; and
  4. Performs other related tasks that shall be assigned from time to time.

Final Shortlisting

If two (2) or more vacant positions with the same title and Salary Grade are published at the same time, and there is only one (1) longlist of applicants provided by HRMDS, additional two (2) applicants for every regular position will be added on top five (5) highest rating.

However, all the additional shortlisted applicants should meet the 80/% cut off.

  6. Copy of Special Order or Certification indicating the supervisory/management experience/functions signed by the HRMO or any authorized representative (for Division Chief positions only or as may applicable);
