Accounts Payable Assistant - Manila

The Accounts Payable Assistant is responsible for processing and monitoring payments to suppliers and service providers in a timely and accurate manner. Reporting to the Operations Finance Manager, the role supports day-to-day accounts payable functions including invoice verification, data entry, reconciliation, and maintaining vendor records.

This position ensures that all payments comply with company policies and financial controls, helping to maintain strong vendor relationships and effective cash flow management within the retail operation.

Key Responsibilities:

  • Receive, review, and verify invoices and supporting documents for accuracy and completeness.
  • Encode and process approved invoices for payment in the accounting system.
  • Ensure timely payments to vendors in accordance with agreed terms and internal schedules.
  • Assist in reconciling vendor statements and resolving discrepancies or billing issues.
  • Maintain accurate records of payables and payment transactions for audit and reporting purposes.
  • Coordinate with purchasing, receiving, and store operations teams to resolve invoice matching issues.
  • Support month-end closing activities, including accruals and account reconciliations.
  • Respond to inquiries from vendors and internal departments regarding payment status and documentation.
  • Assist in maintaining and updating vendor master data.
  • Ensure compliance with financial policies, procedures, and regulatory requirements.

Qualifications:

  • BS Accountancy graduate
  • At least 1–2 years of experience in accounts payable or general accounting, preferably in the retail industry.
  • Fresh graduates are welcome to apply.
  • Basic understanding of accounting principles and accounts payable processes.
  • Proficiency in MS Excel and experience with accounting systems (e.g., SAP, Oracle, QuickBooks) is an advantage.
  • Strong attention to detail and accuracy in data entry and document processing.
  • Good organizational and time-management skills.
  • Ability to work well independently and as part of a team in a fast-paced environment.
  • Strong communication and interpersonal skills.

Work Arrangement:

  • Monday to Friday (On-site)
  • 8am-6:30pm, 9am-7:30pm, or 10am-8:30pm
  • Located in Bagumbayan Libis QC, near Eastwood
