Executive Assistant

We are seeking a highly skilled and professional Executive Assistant to provide comprehensive administrative support to the Executive Board. As the Executive Assistant, you will play a crucial role in ensuring the smooth functioning of the executive office, maintaining effective communication channels, and managing executive-level administrative tasks.
This position requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with the utmost confidentiality.
Responsibilities:
- Administrative Support:
- Manage the daily operations of the executive office, including scheduling meetings, coordinating appointments, and maintaining the executive's calendar.
- Prepare and distribute relevant documents, reports, and presentations for executive meetings, ensuring accuracy and timeliness.
- Arrange travel itineraries and accommodations for executive board members as required.
- Screen and prioritize incoming communications, such as emails, phone calls, and correspondence, responding on behalf of the executive when necessary.
- Act as a liaison between the executive board, internal teams, external stakeholders, and clients, ensuring effective communication and follow-up on action items.
- Meeting Coordination and Management:
- Schedule and coordinate executive board meetings, including logistics, agenda preparation, and document distribution.
- Attend executive meetings, take minutes, and compile comprehensive reports for distribution.
- Track action items and follow up with relevant stakeholders to ensure timely completion.
- Coordinate special events, conferences, and other executive-level engagements as needed.
- Information Management:
- Manage and maintain confidential information, records, and files pertaining to the executive board.
- Conduct research, gather data, and prepare reports or summaries for the executive board's decision-making processes.
- Assist with the preparation of board presentations, financial reports, and other relevant materials.
- Relationship Management:
- Develop and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors.
- Serve as a point of contact for the executive board, handling inquiries, addressing concerns, and resolving issues promptly and professionally.
- Collaborate with other administrative staff to ensure smooth coordination and efficiency within the organization.
Qualifications:
- Bachelor's Degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an executive assistant, senior administrative assistant, or in a similar role supporting top-level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and ability to maintain accuracy under pressure.
- Exceptional verbal and written communication skills, with the ability to draft professional correspondence and prepare executive-level documents.
- Proficient in using productivity tools such as Microsoft Office Suite, calendar management software, and document collaboration platforms.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and the ability to work independently and proactively.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
- Knowledge or interest in the solar power industry is a plus.
