JOB SUMMARY
The Front Office Associate serves as the primary point of contact between the company and its guests. This role is responsible for delivering a positive first impression through professional appearance, courteous communication, and efficient service.The Front Office Associate handles guest reception, inquiries, transactions, guest accounts, and membership sales while ensuring accuracy, security, and excellent guest satisfaction at all times.
Qualifications/Requirements
KEY DUTIES AND RESPONSIBILITIESGuest Reception and ServiceGreet guests warmly and professionally upon arrival.
Answer telephone calls and respond to guest inquiries in a courteous and service-oriented manner.
Assist guests with requests, concerns, and special needs in a timely and efficient manner.
Offer room upgrades, promotions, memberships, and additional services when appropriate to enhance the guest experience.
Cash Handling and TransactionsReceive and process payments via cash, credit card, or approved check transactions.
Issue receipts, refunds, credits, and change accurately.
Count and verify cash drawers at the beginning and end of each shift.
Post charges to guest accounts and compute front office transaction totals.
Reconcile payments received with total sales and prepare daily balance reports.
Sort, count, and secure currency and coins in accordance with company procedures.
Ensure checkout stations are adequately staffed and supplied with sufficient cash.
Guest Account and Data Management
Accurately encode and update guest information in the cloud-based hotel management system, including reservations, payment details, and special requests.Verify guest identification, billing instructions, and payment methods in accordance with established credit-checking procedures.
Ensure guest credit limits, billing arrangements, and collections are properly applied.
Maintain confidentiality of guest information and comply with data privacy policies.
Safety and SecuritySafeguard guest valuables stored in safety boxes.
Ensure proper handling, recording, and endorsement of company funds to the Accounting Office.
Monitor front desk activity to support overall resort security and access control.
Memberships and Sales SupportPromote and sell new memberships to guests and process membership renewals.
Conduct showroom presentations, except for functions managed by the Sales and Government/NGO teams.
Support front office sales initiatives to meet revenue and conversion targets.
Administrative and Operational DutiesMaintain cleanliness and orderliness of the front desk, lobby, and checkout areas.
Prepare and submit daily transaction summaries and reports.
Resolve guest complaints professionally and escalate concerns when necessary.
Provide carry-out or concierge assistance when applicable.
Perform other duties as may be assigned by the Front Office Supervisor or Resort Manager.
QUALIFICATIONS
Bachelor’s degree in Hospitality Management, Tourism, or any related course
At least 1–3 years of experience in a Front Office, Hotel, Resort, or Hospitality-related role
Excellent communication and interpersonal skills
Strong customer service orientation and professional demeanor
Basic knowledge of front office operations, cash handling, and billing procedures
Ability to multitask and work efficiently in a fast-paced environment
Willingness to work shifts, weekends, and holidays as required
