Your Key Responsibilities:

  • Project and Program Coordination: Use Smartsheets to track and update project details, manage the People Solutions project portfolio, and assist in creating reports and dashboards to ensure progress is visible and timelines are maintained. Assist the Project Manager with any ad-hoc projects as they arise.
  • Meeting Coordination: Schedule key team meetings, including all-hands and leadership calls.
  • Onsite Event Support: Assist with onsite support by creating schedule blocks on team members' calendars, making travel arrangements for the team, and supporting the onsite lead with agenda creation, deck construction, and other logistical needs.
  • Presentation Support: Assist with synthesizing and beautifying presentations, ensuring they are polished, visually appealing, and ready for presentation.
  • Experience & Engagement Support: Support high-priority projects led by the Experience & Engagement team.
  • Data and Reporting: Manage data analysis tasks for high-priority projects.

What you’ll bring in:

  • Technical and Soft Skills Requirements
  • Experience providing executive-level administrative support in fast-paced environments.
  • Strong organizational skills for multitasking, prioritizing, and maintaining attention to detail.
  • Proficient in Microsoft Office Suite and Smartsheet, with a track record of creating polished, professional presentations.
  • Excellent verbal and written communication skills, with the ability to confidently interact with senior leaders and external stakeholders.
  • Proven ability to handle sensitive and confidential information with discretion
  • Experience using project management tools like Smartsheet to track progress and manage timelines.
  • Proficiency in Google Sheets and Excel for data analysis, tracking, and reporting.
  • Familiarity with scheduling tools and processes for managing complex calendars and coordinating meetings.
  • Strong proficiency in creating visually appealing presentations using tools like Google Slides, PowerPoint, or similar.
  • Experience managing data analysis and reporting for projects, including building dashboards and generating insights.
  • Familiarity with cross-functional coordination and collaborating with multiple stakeholders on high-priority initiatives.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously in a fast-paced setting.
  • Amenable to work on site - Eastwood, Quezon City
