Front Desk Coordinator / Patient Services Representative

Role Overview
The Front Desk Coordinator plays a critical role in ensuring smooth daily clinic operations. This position goes beyond traditional reception duties—you will actively manage patient flow, support scheduling efficiency, and serve as a key point of coordination between patients and clinical staff.
Key Responsibilities- Patient Coordination
- Welcome patients professionally and verify demographic and medical information.
- Schedule initial evaluations and recurring therapy sessions (typically 2–3 times per week per patient).
- Manage a high-volume phone line: handle inquiries, reschedule appointments, and relay messages accurately to clinicians.
- Insurance & Billing Support
- Verify patient insurance coverage, including therapy benefits, co-pays, deductibles, and visit limits.
- Collect payments (co-pays, deductibles, outstanding balances) at the time of service.
- Prepare daily charge slips and perform end-of-day payment reconciliation.
- Clinic Flow Management
- Coordinate closely with therapists to maintain on-time appointments.
- Notify clinicians of patient arrivals and proactively address scheduling delays.
- Manage waitlists, cancellations, and overbookings efficiently.
- Send prescriptions, referrals, and home exercise programs via fax or email as required.
- Administrative Support
- Maintain a clean, organized, and welcoming reception area.
- Manage patient intake forms and ensure accurate documentation.
- Monitor and replenish office supplies.
- Assist with referrals to external providers (physicians, imaging centers).
- Strong interpersonal skills with the ability to balance empathy and efficiency.
- High attention to detail; able to prevent scheduling errors and billing issues.
- Comfortable using EMR systems (e.g., Ray/Practo), multi-line phone systems, and basic Excel.
- Ability to stay composed and professional in a fast-paced, high-pressure environment.
- High school diploma required; associate degree or medical administration certification preferred.
- Minimum of 1 year front desk experience in a medical, physical therapy, chiropractic, or dental clinic (required).
- Basic understanding of medical insurance (HMO, PPO, Medicare, co-pays, deductibles).
- Willingness to perform prolonged desk work, including computer use and phone handling.
