Overview
We are seeking an Intake Scheduling & Authorization Specialist to support home health operations with a strong focus on intake management, scheduling, and insurance authorizations.
This role requires hands-on experience with CarePort and WellSky/Kinnser, as well as the ability to navigate multiple insurance portals and ensure timely, accurate processing of referrals and authorizations.
The ideal candidate is detail-oriented, dependable, and experienced working with US-based home health agencies.
Key Responsibilities
Intake & Referral Management- Review and process incoming referrals using CarePort
- Manage intake workflow from referral through admission readiness
- Communicate with referral sources and internal teams to gather required documentation
- Upload and organize patient documentation within EMR systems
- Ensure timely follow-up on all pending referrals
- Schedule patient visits and coordinate clinician assignments using WellSky/Kinnser
- Adjust schedules based on staffing availability and patient needs
- Communicate schedule updates with field staff and internal teams
- Ensure all visits are scheduled in a timely and efficient manner
- Obtain and manage insurance authorizations across a wide range of HMOs and payers
- Navigate multiple insurance portals to submit and track authorization requests
- Follow up on pending authorizations to ensure timely approvals
- Maintain accurate records of authorization status and documentation
- Ensure all services are authorized prior to service delivery when required
- Utilize CarePort extensively for intake and referral management
- Utilize WellSky/Kinnser for scheduling and documentation
- Assist with additional WellSky applications such as Forcura (orders) as needed
- Maintain accurate, real-time updates within all systems
- Support intake, scheduling, and authorization workflows across the organization
- Communicate effectively with clinical, administrative, and external stakeholders
- Maintain high levels of organization and attention to detail across all tasks
- Ensure compliance with company processes and payer requirements
- Minimum 3+ years experience working with US-based home health agencies
- Strong, hands-on experience with CarePort
- Strong, hands-on experience with WellSky/Kinnser
- Experience handling insurance authorizations across multiple payer types
- Excellent English communication skills (written and verbal)
- High level of dependability, professionalism, and work ethic
- Ability to work independently and manage multiple priorities
- Strong attention to detail and problem-solving skills
- Familiarity with WellSky Forcura (orders management)
- Experience working with high-volume intake environments
- Experience using multiple EMRs or healthcare systems
- Prior experience in remote healthcare support roles
