Financial Planning Admin (AUSTRALIAN Account)
About the Role
We are seeking an experienced Financial Planning Specialist to provide end‑to‑end support to our Financial Advisers in managing client onboarding, reviews, implementation, compliance documentation, and ongoing service activities. This will be a hybrid work set up in Cebu City, PH.
You will be joining a fast‑paced, AI‑enabled team that values efficiency, adaptability, and continuous improvement. The ideal candidate can hit the ground running, is organized, proactive and adapts quickly as tools, processes, and changes.
Key Responsibilities
Client & Adviser Support (Phase 1 focus)- Support client onboarding from initial engagement through to signing
- Prepare and send onboarding forms and client communications using templates
- Follow up clients to ensure forms, authorities, and documents are completed
- Schedule meetings and manage follow‑ups before and after adviser sessions
- Maintain accurate client records in CRM and shared folders
- Collect and organise client data (super, insurance, investments, personal details, etc.)
- Follow up product providers and platforms for missing or updated information
- Prepare comparison sheets, summaries, and internal documents for adviser review
- Ensure files are complete, organised, and audit‑ready
- Assist with applications, rollovers, and implementation tracking
- Liaise with product providers for status checks and follow‑ups
- Track outstanding implementation items through to completion
- Support ongoing review preparation and post‑meeting admin updates
Note: This role is fully supported, and training will be provided on areas needed.
What We're Looking For
Essential- At least 1-2 years experience in Australian financial planning administration
- Understanding of client onboarding, data gathering, and implementation workflows
- Strong attention to detail and ability to follow structured processes
- Confident written and verbal English
- Comfortable following up clients and providers professionally
- Proficient with Microsoft Outlook, Word, Excel (Copilot exposure is a plus)
- Experience working with Australian financial advisers or practices
- Familiarity with CRMs and document management systems
- Exposure to superannuation, insurance, and investment admin
- Ability to adapt quickly as processes and systems evolve
