As an Admin and Customer Service Representative, you will support property management operations by responding to emails and calls, managing tickets, coordinating with property managers, handling customer and vendor concerns, and assisting with documentation and operational records.
This role plays an important part in supporting global property management operations, ensuring smooth communication between clients, vendors, and property managers while maintaining accurate records and resolving customer concerns. - Must be willing to work night shift and flexible schedule preferred
- Minimum of 2 years of experience as a Customer Service Representative
- Extremely fluent in English, both written and spoken
- Strong familiarity with web-based tools such as Google Suite
- Open communicator with a team-oriented mindset
- Highly organized and detail-oriented
- Ability to multitask and work independently
Customer Service and Communication
- Respond to emails and phone calls from vendors, board members, and property owners
- Handle U.S. customer and vendor calls via IP telephony
- Communicate operational needs with U.S. clients and vendors
- Deliver exceptional customer service as the first point of contact
- Manage and update tickets using the Vantaca system
- Coordinate with a Chicago-based Community Manager
- Facilitate daily operations within an assigned property portfolio
- Resolve association requests through an online ticketing system
- Research and resolve payment issues related to AR and AP
- Track and manage documentation and operational records
- Prepare documents for signing using DocuSign
