Vessel Operations Officer

As a Vessel Operations Officer, you will be responsible for ensuring the smooth functioning of the TAD’s vessel operations and delivering quality services to our principals. You will provide operational support to the Operations Manager in coordinating and attending to port agency requirements of vessels while manifesting strict adherence and competent compliance with the company's quality management system and values.
Duties and Responsibilities:
- Maintain strict adherence to the company's Vision, Mission, Quality Policy, and corporate values (TRIPLE) while implementing the quality management system.
- Assist the Operations Manager in attending to all port agency requirements of vessels, including coordinating and carrying out all instructions from the principal regarding operations, documentation, cargo, master, and vessel requirements.
- Ensure regular communication with principals regarding their vessel's status, including arrival/departure particulars and daily port activities.
- Prepare and submit estimated port disbursement reports (EPDA) and supporting documents to the principal, including forwarding vessels discharging and/or loading activities.
- Ensure that the vessel funds per agreed EPDA are remitted by vessel owners and/or charterers prior to the vessel’s departure at the port/s of call.
- Ensure that vessel funds are transmitted to sub/local/supercargo agents at least 2 to 4 days prior vessel’s arrival at the port/s of call.
- Assist in the daily functions of the division regarding vessel operations, including liaising with sub/local/supercargo agents and different government agencies in relation to services, permits, and clearances.
- Prepare and submit general statistics of the division, acting as a reliever to the Operations Manager in cases of unavailability.
- Coordinate with Marketing and Customer Service on customer needs and requirements.
- Provide guidance to the Customer Service Representative and GM Secretary in handling phone inquiries related to the division's services.
- Review bills and invoices and endorse them through the Ok-to-Pay (OTP) email alerts.
Qualifications:
- Bachelor's degree in Maritime Studies, Supply Chain, Logistics, or a related field.
- Minimum of 2 years of experience in port agency services, vessel operations, or related roles.
- Excellent communication, organizational, and problem-solving skills.
- Familiarity with government agencies' requirements related to services, permits, and clearances.
- Ability to work independently and as part of a team.
