Key Duties and Responsibilities

Procurement & Supplier Management

Oversee the end-to-end purchasing process including sourcing, vendor

evaluation, price negotiation, purchase order issuance, and delivery

monitoring.

Identify and evaluate new suppliers to ensure competitive pricing and reliable

supply.

Maintain strong relationships with suppliers and negotiate favorable terms and

contracts.

Ensure the availability of critical supplies such as coffee beans, packaging

materials, café ingredients, equipment, and store consumables.

Cost Control and Budget Management

Develop procurement strategies that support cost efficiency without

compromising quality.

Monitor market trends and pricing to ensure the company remains competitive

in purchasing.

Implement cost-saving initiatives through bulk purchasing, supplier

consolidation, and strategic sourcing.

Inventory Coordination

Work closely with Production, Warehouse, and Café Operations teams to

forecast purchasing requirements.

Ensure adequate stock levels while avoiding overstocking or stock shortages.
Monitor lead times and coordinate deliveries to meet operational schedules.

Compliance and Documentation

Ensure all procurement transactions comply with company policies and

financial procedures.

Maintain accurate purchasing records, supplier contracts, and documentation.
Support finance in purchase tracking, invoice verification, and payment

processing.

Team Leadership

Supervise and guide purchasing staff and procurement coordinators.
Establish procurement processes and systems that improve efficiency and

transparency.

Collaborate with department heads to ensure procurement needs are met

effectively.
