As we enter our next phase of growth, we're looking for an exceptional Senior Executive Assistant to serve as the operational right hand to our CEO. This is a pivotal executive role designed for a highly strategic, commercially minded, and execution-focused leader who can bridge the gap between vision and day-to-day operations.
Working closely with our CEO in Sydney and our founders across Australia and New Zealand, you'll become a trusted extension of the executive leadership team, ensuring strategic priorities are translated into action, cross-functional initiatives are delivered, and the business operates with discipline, accountability, and transparency.
This is a role of influence rather than authority. Your success will be built on your ability to establish trust, foster collaboration, and drive outcomes across multiple business functions while supporting a high-performing, remote-led leadership team.
What You'll Be Doing
As a Senior Executive Assistant, you'll drive operational excellence, executive alignment, and strategic execution while acting as the central point of coordination between the CEO and the wider business.
CEO Partnership & Executive Operations- Serve as the primary operational liaison between the CEO and the Philippines-based team, ensuring seamless communication across time zones.
- Prepare executive briefings, agendas, pre-read materials, meeting packs, and presentation documents.
- Attend executive and leadership meetings, documenting decisions, action items, and key outcomes.
- Track CEO priorities, monitor delegated actions, and ensure timely completion through consistent follow-up.
- Draft executive communications, business updates, and internal correspondence on behalf of the CEO.
- Ensure the founders' vision, values, and culture remain embedded as the business continues to grow.
- Drive execution of strategic priorities across multiple departments.
- Build trusted relationships with department leaders to ensure accountability and follow-through.
- Identify operational risks, bottlenecks, and improvement opportunities, providing practical recommendations to the CEO.
- Coordinate cross-functional projects and ensure milestones, resources, and deliverables remain on track.
- Represent the CEO during operational meetings and leadership discussions when required.
- Lead the evaluation, implementation, and ongoing optimisation of an Enterprise Operating System (EOS) or similar business management platform.
- Establish structured operating rhythms, including weekly, monthly, quarterly, and annual planning cycles.
- Drive organisation-wide adoption of accountability frameworks and operating disciplines.
- Facilitate training, change management, and continuous improvement initiatives to support long-term business scalability.
- Own the operational reporting calendar and ensure all reporting obligations are completed accurately and on schedule.
- Coordinate the preparation of executive management reports by consolidating information from Finance, Business Intelligence, and operational teams.
- Ensure reporting frameworks remain relevant, consistent, and scalable as the business grows.
- Monitor reporting compliance and escalate recurring issues or missed deadlines.
- Support executive decision-making through clear reporting, analysis, and business insights.
- Conduct regular one-on-one meetings with department leaders to understand business performance, team dynamics, and operational challenges.
- Provide the CEO with meaningful insights into organisational health, engagement, and leadership effectiveness.
- Partner closely with HR on employee performance, succession planning, retention risks, and leadership development.
- Support the onboarding and integration of senior leaders into the organisation.
- Lead CEO-sponsored strategic initiatives from planning through successful implementation.
- Conduct research, market analysis, and benchmarking to support executive decision-making.
- Prepare business cases, executive presentations, and strategic recommendations.
- Identify opportunities to improve operational effectiveness, organisational capability, and business performance.
- Champion the company's values, culture, and leadership expectations across the organisation.
- Promote accountability, operational excellence, and continuous improvement.
- Facilitate leadership workshops, strategic planning sessions, and executive offsite meetings.
- Serve as a trusted advisor while maintaining the highest levels of professionalism, discretion, and integrity.
- Bachelor's degree in business administration, Management, Finance, Operations, Engineering, or a related discipline. An MBA or postgraduate qualification is an advantage.
- 5–10 years of professional experience, including 2–3 years in a Chief of Staff, Business Manager, Operations Manager, Executive Business Partner, Senior Executive Assistant, or similar strategic leadership role.
- Proven experience supporting C-suite executives within fast-paced, high-growth organisations.
- Demonstrated success leading complex cross-functional projects from planning through execution.
- Experience working within remote, distributed, or international leadership teams.
- Strong commercial acumen with the ability to translate strategy into operational execution.
- Excellent project management, stakeholder management, and organisational skills.
- Strong analytical capability with experience interpreting business data and preparing executive reports.
- Exceptional written and verbal English communication skills.
- High level of discretion when managing confidential and sensitive information.
- Strong technology proficiency with the ability to adopt and implement new business systems and tools.
- Ability to work independently with minimal supervision in dynamic and evolving business environments.
- Experience within BPO, shared services, professional services, or high-growth organisations.
- Experience implementing an Enterprise Operating System (EOS) or similar business operating framework.
- Experience working with executive reporting, governance, business intelligence, or performance management.
- Background supporting international leadership teams across Australia, New Zealand, or global markets.
- Experience leading organisational change, transformation, or business improvement initiatives.
- Candidates must demonstrate strong leadership, project management, and cross-functional stakeholder management capabilities.
- This role requires exceptional communication skills, commercial judgment, and the ability to build trust across all levels of the organisation while operating with a high degree of autonomy.
- Experience implementing business operating systems, improving organisational reporting, or leading transformation initiatives will be a significant advantage.
