Executive Assist Co. (EA Co.) is a Filipino-founded boutique staffing agency that places virtual assistants, bookkeepers, and inside sales reps with clients globally. The Role

We're hiring an HR Coordinator to manage the people side of EA Co.'s operations. This is an internal role — you'll be working directly for EA Co., not placed with a client. You'll own recruitment, onboarding, and compliance processes as we scale our talent pool.

This role is ideal for someone who's organized, people-oriented, and comfortable building HR processes from the ground up in a lean team.

What You'll Do
  • Manage end-to-end recruitment: job posting, sourcing, screening, scheduling interviews, and coordinating assessments
  • Run onboarding for new contractors and client placements, including welcome packs, contracts, and tool access setup
  • Maintain contractor records, ensuring accuracy and confidentiality
  • Track and ensure compliance with BIR requirements, contractor agreements, and internal policies
  • Support contractor payout coordination and invoice tracking
  • Draft and maintain HR documentation — contractor agreements, NDAs, policies, and SOPs
  • Monitor team engagement and flag any concerns to the CEO
  • Coordinate with the CEO on workforce planning as the team grows
What We're Looking For
  • At least 1 year of experience in an HR coordination, recruitment, or people operations role
  • Familiarity with contractor-based workforce models and BIR compliance basics
  • Excellent organizational skills and attention to detail
  • Strong written and verbal English communication skills
  • Comfortable working with spreadsheets, trackers, and documentation tools
  • Self-starter who can take ownership of processes without heavy supervision
  • Discreet and trustworthy when handling sensitive information
Nice to Have
  • Experience in a staffing agency, BPO, or outsourcing environment
  • Familiarity with remote team management and async communication
  • Background in onboarding or contractor engagement initiatives
  • Interest in AI tools and willingness to use them to streamline HR workflows
