Job Title: Virtual Assistant – Solar Admin, Marketing & Sales Support

About the Role

We are seeking a highly organised and proactive Virtual Assistant to support our fast-growing solar and electrical business. This is a diverse role that blends administration, operations, marketing, and sales support. You’ll work closely with our Australian-based team to ensure smooth business operations, maintain strong communication with clients and field staff, and help drive our marketing and lead generation efforts.

Key Responsibilities

?️ Admin & Operations
  • Schedule and manage all jobs and tasks using AroFlo
  • Confirm client bookings and appointment details via phone and email
  • Coordinate with employees regarding job schedules and AroFlo documentation
  • Follow up with field staff to ensure completion and submission of daily paperwork
  • Raise and process invoices for completed jobs
  • Create and maintain job folders for solar installations
  • Complete and submit all solar administration paperwork, including:
  • STCs
  • Victorian Solar applications
  • Distributor connection forms
  • Other regulatory documents
  • Prepare and send tender documents; assist with quoting and pricing
  • Enter, reconcile, and assign purchase orders (POs) in AroFlo
  • Submit relevant compliance, licensing, and insurance documentation
  • Manage company vehicle fleet (registration, servicing, tracking)
  • Track and manage monthly and mid-month payables
  • Help improve internal systems, workflows, and standard operating procedures (SOPs)
  • Assist with back costing and job-specific profit & loss reports
  • Marketing & Social Media
  • Manage and grow the company’s presence across Instagram, Facebook, LinkedIn, and other platforms
  • Design and schedule branded content, including:
  • Posts, Reels, and Stories
  • Plan and execute targeted social media campaigns
  • Regularly update website content and visuals
  • Monitor and respond to online feedback and reviews
  • Design basic marketing materials and branded templates using tools like Canva
  • Lead Generation & Sales Support
  • Research and identify new business opportunities, tenders, and projects
  • Follow up on inbound enquiries to support the sales pipeline
  • Assist in the preparation of quotes, proposals, and presentation packs
  • Collaborate with internal teams to support company growth initiatives
Qualifications & Experience
  • Minimum 2 years experience as a Virtual Assistant or Admin/Operations support
  • Experience with AroFlo or similar job management systems (must)
  • Solid understanding of solar/electrical industry processes (advantageous)
  • Excellent written and verbal English communication skills
  • Proficient in Microsoft Office and Google Workspace
  • Experience with social media content creation and scheduling tools (e.g. Canva, Buffer, Meta Suite)
  • Strong attention to detail, time management, and organisational skills
