The Office Admin is responsible for supporting both grower and internal farm administrative functions. This role ensures accurate data management, timely reporting, coordination of logistics, and proper handling of financial and operational documents to support daily farm operations.

Key Responsibilities
  1. Data Management & Reporting
  • Collect and encode farm data into the DBMS system
  • Update and maintain accurate records in DBMS
  • Prepare and release daily farm reports
  • Encode and maintain Transportify summary records
  1. Documentation & Compliance
  • Process and prepare shipping permits (including weekends when needed)
  • Handle JRS/LBC documents and prepare transmittals
  • Manage and organize JRS-related documentation
  • Prepare request letters and follow up with growers and area managers
  1. Financial & Administrative Support
  • Prepare and submit liquidation reports
  • Consolidate liquidation summaries and proof of payments
  • Assist in internal liquidation summaries and documentation
  • Monitor and follow up grower/internal farm accounts receivable
  • Process payroll support (e.g., Saveplus payroll)
  • Handle reimbursement processing and documentation
  1. Procurement & Inventory
  • Prepare Purchase Requests (PR) for feeds, chicks, and MedVac supplies
  • Input PR revisions and maintain accurate tracking
  • Monitor MedVac inventory and assist in procurement planning
  1. Logistics & Coordination
  • Coordinate transport bookings (feeds transfer, MedVac deliveries)
  • Prepare Delivery Receipts (DR) prior to scheduled deliveries
  • Assist in driver coordination and scheduling
  • Confirm loading module schedules
  1. Internal Operations Support
  • Handle internal requisitions (approvals, BDO uploads)
  • Maintain and update authorized signatories
  • Encode internal farm supply expenses in DBMS
  1. Meetings & Communication
  • Prepare and release minutes of production meetings
  • Coordinate with treasury and accounting (A/R) for payment concerns
  • Collaborate with internal teams for operational concerns
Qualifications
  • Bachelor’s degree in Business Administration, Supply Chain Management, BS Financial Management or BS Accountancy
  • At least 1–2 years of experience in administrative or operations support (farm or logistics experience is a plus)
  • Proficient in MS Excel and database systems (DBMS)
  • Strong organizational and documentation skills
  • Good communication and coordination abilities
  • Detail-oriented and able to handle multiple tasks
