Warehouse Supervisor

Job Title: Warehouse Supervisor – Inbound & Inventory, Outbound Operations

The supervisor directly manages warehouse personnel, monitors KPIs, and ensures smooth coordination between purchasing, production, and logistics teams.

Key Responsibilities:

1. Inbound Receiving & Put-away

• Supervise daily receiving activities, including unloading, inspection, and verification of deliveries against Purchase Orders (PO) and Delivery Receipts (DR)
• Ensure 100% accuracy in quantity and item verification before system entry
• Record and report discrepancies, damages, or shortages immediately
• Oversee proper tagging, labeling, and bin location assignment
• Ensure timely put-away of items within defined SLA (e.g. within same day of receipt)

1. Inventory Control & Accuracy

• Maintain real-time inventory accuracy in the warehouse management system (WMS) or manual records
• Lead cycle counting and monthly physical inventory activities
• Investigate root cause of variances and implement corrective actions
• Enforce FIFO/FEFO and proper stock rotation practices
• Monitor slow-moving, aging, and obsolete inventory and report to management

1. Outbound Processing & Dispatch

• Supervise order picking, packing, and staging based on approved Sales Orders (SO) or Delivery Plans
• Ensure correct item, quantity, and documentation before dispatch
• Coordinate with transport/logistics team for on-time delivery scheduling
• Monitor order fulfillment timelines and ensure adherence to dispatch cut-off times
• Approve release of goods and ensure proper documentation (DR, invoice, gate pass)

1. Team Leadership & Workforce Management

• Supervise warehouse staff (receivers, pickers, packers, helpers) on a daily basis
• Assign tasks based on workload and priority schedules
• Train team members on standard operating procedures (SOPs) and safety practices
• Monitor attendance, productivity, and performance metrics
• Address operational issues and escalate when necessary

1. Warehouse Operations & Efficiency

• Ensure warehouse layout is optimized for efficient movement and storage
• Maintain cleanliness, orderliness, and 5S standards in all areas
• Monitor equipment usage (e.g. forklifts, pallet jacks) and report maintenance needs
• Identify process improvements to reduce errors, delays, and operational costs

1. Safety, Compliance & Reporting

• Enforce safety protocols and proper handling procedures at all times
• Conduct regular safety checks and incident reporting
• Ensure compliance with company policies and audit requirements
• Prepare daily/weekly reports on inbound, outbound, and inventory status
• Track KPIs such as receiving accuracy, picking accuracy, and on-time dispatch
