Position Overview
We are seeking a detail-oriented and organized Administrative Assistant to support the daily operations of our Property
Management Group. This role is ideal for someone with strong administrative and bookkeeping skills who enjoys working in afast-paced environment. The ideal candidate will have experience with residential property management, proficiency in AppFolio, and a positive, professional attitude.
Key Responsibilities:
Administrative Support- Provide day-to-day administrative support for the property management team.
- Answer phones, respond to emails, and communicate professionally with tenants, owners, and vendors.
- Maintain organized digital and physical records.
- Coordinate appointments, inspections, and maintenance scheduling.
- Assist with lease documentation and resident communications.
- Utilize AppFolio software for property management operations.
- Maintain accurate tenant, owner, vendor, and property records.
- Track work orders, lease renewals, and communications through the CRM system.
- Generate reports and assist with data management.
- Handle bookkeeping functions related to managed properties.
- Manage Accounts Receivable (AR), including rent collection follow-up and payment posting.
- Process invoices and ensure timely and accurate vendor payments.
- Reconcile accounts and assist with monthly financial reporting.
- Support general accounting and administrative financial tasks.
- Assist in managing single-family homes and small multi-family residential properties.
- Coordinate tenant requests and vendor services for residential properties.
- Support property managers with daily operations and owner relations.
- Previous administrative experience, preferably in property management.
- Experience with AppFolio strongly preferred.
- Bookkeeping/accounting experience required.
- Understanding of Accounts Receivable and invoice processing.
- Experience with single-family and small multi-family properties preferred.
- Commercial property experience not required.
- Strong organizational skills and attention to detail.
- Positive attitude and professional communication skills.
- Proficiency in Microsoft Office and general office systems.
- Self-starter with the ability to prioritize tasks.
- Reliable, efficient, and solution-oriented.
