The Talent Acquisition (TA) Onboarding Compliance Specialist is responsible for managing and executing onboarding procedures for new hires, focusing on adherence to legal, account specific requirements, and internal company policies. This role ensures that all employees start their journey within the company in a compliant and welcoming manner.

The role may require additional hours to accommodate new hire schedules or complete onboarding sessions.

Job Description:

  • Hiring: Ensure that the candidate will be able to complete all Non-Negotiable Pre-Employment requirements prior start date or Roster lock depending account specific requirements. Candidates with incomplete pre-employment requirements will not allowed to join the training.
  • Hiring: Manage Successfactors
  1. Review New Hire Data – After TA initiate Onboarding, Start the Onboarding 2.0 for the candidate to receive their onboarding credentials for data collections and uploading of their pre-employment requirements, then move the candidate to Background Pending
  2. Upload Cleared Background Check, Pre-employment Medical Exam and Drug Test results
  3. Manage Pending Hires – validate government numbers
  4. Onboarding Documents - Validate uploaded pre-employment requirements
  5. Update the status of the Candidate whether Good to Hire or Fallout
  6. Move the Candidate back to Offer Accepted – ready to hire
  • Compliance Management: Ensure the onboarding process complies with all local legal requirements, account for specific requirements, company policies, and best practices. Ensure that the
  • Regulatory Compliance: Stay updated with Philippine employment regulations to ensure onboarding practices are compliant with local laws.
  • Document Verification: Verify and maintain records of important documents such as employment contracts, government-required forms, and identity proofs as per regulatory standards.
  • Process Execution: Carry out the onboarding process for new employees, which includes but not limited to document collection, background checks, mandatory government registrations and lastly upload all employee files in their respective Everdocs profile.
  • Documentation: Accurately manage and maintain employee records and personal files as per legal standards, company policy and uploaded in Everdocs.
  • Interdepartmental Collaboration: Work closely with various departments, such as TA Recruitment Operations, Leadership and Support for day-to-day endorsements and conversion of hires to Good to hire prior start date as well as to IT, Security, and Payroll, to coordinate onboarding logistics and ensure new hires have the tools and access required to begin work.
  • Reporting: Generate reports concerning onboarding activities, compliance adherence, and any issues or discrepancies identified.
  • Compliance End of Day Report – OC Specialist to send progress report for the good to hire status on a per class/account/location basis. This is being sent to Recruitment, Learning and Operations
  • Employee Assistance: Act as a point of contact for new hires regarding onboarding questions or concerns and provide support throughout the process.
  • Daily Call outs – Follow through with the candidates daily for their pending pre-employment requirements until they are tag as good to hire.
  • Keep warm – Once the candidate is tagged as good to hire, OC Specialist will ensure that the candidates are still warm by doing daily touch base with the candidate and RAG tagging. Any amber and red tagging will be escalated within the team and Recruitment and do the necessary for possible replacement ahead of time. Provide the Training details such as date/time and venue of the New Hire Orientation and name of the Trainer.
  • Day 1 Show up – Ensure that we deliver the required headcount with buffers for possible last-minute fall out, prior the start date.

Job Qualifications:

  • Bachelor's Degree or equivalent Recruitment or Onboarding Compliance experience.
  • At least 1-year direct experience with Recruitment or Onboarding Compliance is highly valued.
  • Familiarity with Philippine labor laws and employment regulations.
  • Strong organizational and time-management abilities.
  • Good communication (verbal and written) and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
  • High attention to detail, with the ability to manage sensitive information discreetly.
  • Proactive and able to work independently and as part of a team.
