The Fleet Supervisor/ Logistic Supervisor is responsible for overseeing the company’s fleet operations to ensure all vehicles and drivers meet safety, efficiency, and compliance standards. This role ensures optimal vehicle utilization, preventive maintenance, and cost-effective management of repairs, parts, and tools inventory in alignment with operational requirements.

  1. Fleet Oversight
  • Oversee the operation and maintenance of vehicles, ensuring they are in optimal condition and meet all safety and regulatory standards.
  • Monitor vehicle utilization and scheduling to maximize efficiency and minimize downtime.
  • Conduct regular audits of vehicle conditions and maintenance records.
  • Coordinate with other departments to align fleet availability with operational needs.
  1. Daily Vehicle Checking
  • Supervise daily inspections to ensure all vehicles are roadworthy, clean, and properly maintained.
  • Check fluid levels, tires, brakes, lights, and general condition before deployment.
  • Address minor issues immediately or escalate major concerns for repair.
  • Maintain daily vehicle checklists and ensure compliance with operational standards.
  1. Driver Supervision and Management
  • Supervise and manage drivers to ensure adherence to schedules, safety policies, and company protocols.
  • Conduct regular briefings, safety reminders, and performance monitoring.
  • Address driver concerns promptly, handle attendance and route compliance, and provide feedback.
  • Conduct regular plotting and updating of vehicle schedules.
  • Provide training and coaching to promote accountability and professionalism.
  1. Vehicle Maintenance
  • Plan and implement preventive maintenance schedules to minimize breakdowns.
  • Diagnose vehicle issues and coordinate necessary repairs.
  • Verify third-party service quotations and quality of work to ensure cost efficiency.
  • Maintain detailed records of maintenance activities and service intervals.
  1. Repairs and Tool Inventory Management
  • Serve as the in-charge of all vehicle repair activities, ensuring quality and safety standards are met.
  • Maintain an updated inventory of tools, spare parts, and materials.
  • Implement a tool issuance and return tracking system to ensure accountability.
  • Conduct regular inspections and inventory audits to verify tool condition and completeness.
  • Coordinate procurement and replenishment of tools or parts as needed.
  • Ensure the repair area is organized, safe, and compliant with company standards.
  1. Parts and Market Knowledge
  • Research and compare market prices for vehicle parts, tires, and services.
  • Maintain a network of reliable suppliers and service providers.
  • Ensure cost efficiency in purchasing and repair services without compromising quality.
  • Stay updated on automotive technology and industry cost trends.
  1. Documentation and Reporting
  • Maintain organized records of vehicle usage, maintenance history, and fuel consumption.
  • Prepare periodic reports on fleet performance, repair costs, and inventory utilization.
  • Analyze data to identify cost-saving opportunities and operational improvements.
  1. Compliance and Safety
  • Ensure full compliance with government regulations (registration, insurance, emission testing).
  • Track renewal schedules and documentation for timely submission.
  • Enforce company safety policies and accident reporting procedures.
  1. Mechanical Shared Services & Project Support
  • Provide technical validation and support for mechanical-related systems such as HVAC, motors, pumps, and other mechanical components.
  • Coordinate and provide support with the Technical, Engineering, and Construction teams for project requirements involving mechanical works as needed.
  • Assist in troubleshooting, inspections, and performance assessments of mechanical systems within company premises or project sites.
  • Ensure all mechanical-related activities align with safety, quality, and operational standards.
  • Support project planning, execution, and documentation of mechanical works by assisting in scope validation, resource scheduling, progress tracking, and turnover activities to ensure timely and compliant project delivery.

Minimum qualifications:

  • Bachelor’s degree in Mechanical Engineering or related field.
  • Must be a Licensed Mechanical Engineer (PRC).
  • Minimum of three (3) years’ experience in fleet management, vehicle maintenance supervision, or logistics operations.
  • Strong knowledge of vehicle diagnostics, repairs, and preventive maintenance.
  • Proficient in inventory and tool management, with working knowledge of MS Excel or Google Sheets for reporting and scheduling.
  • Excellent leadership, coordination, and communication skills with high attention to detail and accountability.
  • Must hold a valid Professional Driver’s License (Restriction Codes A, B, and C).
  • Physically fit and capable of performing on-site inspections, repairs, and field supervision activities.
  • Willing to work on flexible or extended hours as required by operations.
