Job Title: Senior Administrative Specialist (US)

Work Setup & Schedule: Tuesday to Sunday - 2:00 AM to 11:00 AM

What you’ll be doing:

  • Client Job & Document Management: Upload, download, file, and organize records across client portals and emails; send notifications to clients and tax preparers.
  • New Client Onboarding: Issue welcome emails, set up portal logins, assign Lacerte Tax IDs, create physical/digital file folders, and log records into Outlook and QuickBooks.
  • Client Research & Verification: Gather and verify critical business information including EIN, SSN, DOB, SOS#, State Business Licenses, and Statements of Information.
  • Engagement & Setup: Add new entities to client software, dispatch engagement letters, map file shortcuts, and manage group tags within TaxDome.
  • Tax Return Assembly & E-Filing: Assemble and transmit completed tax returns to clients; track, monitor, and submit e-files once signatures and payments are secured.
  • Task Tracking & Workflow Management: Monitor and log all engagement statuses, updates, and department reminders using TaxDome and Office Tools Outlook inbox.
  • Administrative & Ad-Hoc Support: Assist with tax vouchers, filing extensions, annual engagement updates, and provide general backup support for the administrative team.

  • Bachelor's degree in accounting, Finance or related field of study.
  • Extremely high level of organizational and time management skills
  • High attention to detail
  • Strong written and verbal communication skills
  • Proficient in Office products, Word, Excel and Outlook.
  • 1 year of Project Management experience
  • 3-5+ years administrative experience
  • Solution-oriented; problem-solver.
  • Self-Discipline & Problem-Solving Skills: Ability to work in a very fast-paced environment with minimal supervision.
  • Problem-solving and critical thinking skills required.
  • Capacity and commitment to work 40 hours a week during traditional daytime business hours supporting clients.
  • Solution-oriented; problem-solver.
  • Experience in developing strong remote team relationships based on trust, accountability, integrity, and sharing of best practices.
  • Willingness to follow established policies and procedures.
