Role Overview

Reporting to the General Manager, the Office Manager oversees the day-to-day operations, student services, and wider team in our fast-growing Philippines office. This role combines team leadership, operational excellence, student success management, and local financial oversight.

You will lead and mentor a cross-functional local team, ensuring seamless office workflows, high-quality student support, and efficient operations aligned with global standards.

Key Responsibilities

Team Leadership - Student Services & Operations
  • Lead and mentor the local accounts, student services, and operations teams to ensure high performance and alignment with global company goals.
  • Oversee day-to-day office operations, facility management, and administrative workflows to maintain a productive and compliant work environment.
  • Supervise the Philippines based student services team to ensure excellent student onboarding, engagement, and retention.
  • Collaborate with internal departments across regions to collect, analyse, and report business and student data.
  • Prepare reports, presentations, and forms for government representatives, education partners, and corporate advisors.
Team Leadership - Admissions
  • Support the achievement of enrolment and revenue targets by overseeing the local admissions team and monitoring lead engagement activities.
  • Monitor admissions performance metrics and ensure the local team members are meeting agreed sales, conversion, contact, and follow-up KPIs.
  • Coach and support admissions staff to improve lead conversion, customer experience, and enrolment outcomes.
  • Collaborate with marketing, admissions, and regional leadership teams to identify opportunities to improve lead quality, conversion rates, and customer acquisition.
Operations Management
  • Design, implement, and optimise operational workflows to increase team efficiency and eliminate manual bottlenecks.
  • Identify opportunities for automation within daily office tasks and student service processes using modern tools and software platforms.
  • Manage local systems and software infrastructure, ensuring the team is fully trained and utilising tools effectively.
  • Conduct operational analysis to support continuous improvement initiatives across the branch.
  • Oversee compliance checks to ensure policies and procedures are being followed.
  • Develop and maintain operational dashboards to track team performance, student engagement, and office KPIs.
  • Utilise advanced Excel capabilities (e.g., data modeling, formulas, pivot tables) to manipulate, analyse, and report business and student data.
  • Monitor actual operational performance against targets and identify variances, risks, and opportunities for structural optimisation.
Office Management
  • Organise and maintain the physical office facility, ensuring a safe, clean, and productive work environment.
  • Manage local equipment procurement and inventory, including laptops, office supplies, and technical assets for the team.
  • Act as the primary point of contact for external stakeholders, including interacting with the landlord, property management, utilities, and local vendors.
  • Participate in the local recruitment process, including interviewing candidates for roles within the Philippines branch.
  • Lead the onboarding process for new team members, ensuring they have the necessary equipment, system access, and training to integrate smoothly into the team.
  • Oversee corporate administration including local governance documentation, compliance filings, and coordination of internal meetings.
Required Skills and Experience
  • Proven experience as an Office Manager, Operations Manager, or similar supervisory role managing multi-disciplinary teams).
  • Knowledgeable in systems, workflows, policies and procedures, and compliance checks.
  • Strong leadership skills with a track record of mentoring and developing staff, setting KPIs and monitoring performance.
  • Excellent communication, collaboration, and stakeholder management skills to work effectively with international teams.
  • Highly organised, detail-oriented, and able to thrive in a fast-paced, growth-oriented environment.
  • Experience in the education, edtech, or training sector is a strong plus.
  • Proficiency with Google Suite, Excel and Hubspot.
