Overview

We are seeking a highly organized and detail-oriented Construction Project Coordinator to support the full lifecycle of commercial millwork, casework, cabinetry, and countertop projects. This individual will work closely with project managers, operations leadership, purchasing teams, and accounting staff to ensure projects are properly organized, documented, and executed from award through completion.

The ideal candidate will have prior experience supporting construction, millwork, cabinetry, manufacturing, or casework projects and possess strong administrative, coordination, and communication skills. Experience with project documentation, purchasing support, subcontractor coordination, and construction software platforms is highly preferred.

Key Responsibilities

Project Setup & Documentation Management
  • Create and organize project folders upon project award.
  • Maintain project documentation, engineering files, and project records.
  • Coordinate collection and organization of Certificates of Insurance (COIs), subcontractor agreements, and compliance documentation.
  • Ensure all project files remain complete, accurate, and up to date.
  • Track required project documentation and proactively follow up on missing items.
  • Maintain organized digital filing systems for project records.
Project Coordination Support
  • Support Project Managers throughout the entire project lifecycle.
  • Assist with project scheduling, task tracking, and coordination activities.
  • Coordinate communication between internal departments, vendors, subcontractors, and project stakeholders.
  • Monitor project milestones and assist with project status updates.
  • Help maintain project logs, action items, and follow-up activities.
  • Support project closeout documentation and final record organization.
Purchasing & Vendor Coordination
  • Obtain quotes from suppliers and vendors.
  • Assist with material procurement and purchasing activities.
  • Track purchase orders and vendor commitments.
  • Coordinate material deliveries and vendor communications.
  • Research products, samples, and material options as requested.
  • Maintain purchasing records and documentation.
Administrative & Operational Support
  • Assist bookkeeping and administrative teams with project-related documentation.
  • Prepare spreadsheets, reports, and project tracking documents.
  • Maintain accurate project data within company systems.
  • Support management with operational tasks and special projects.
  • Monitor shared inboxes and assist with communication management.
  • Ensure timely follow-up on project-related requests and outstanding items.
Technology & Process Support
  • Utilize construction software and project management platforms to track project activity.
  • Support estimating, takeoff, and project administration workflows.
  • Assist with process improvement initiatives and operational efficiencies.
  • Leverage AI tools and technology to improve productivity and documentation quality.
Preferred Skills & Qualifications
  • Minimum 3 years of experience supporting construction, millwork, cabinetry, casework, manufacturing, or related projects.
  • Strong project coordination or project administration experience.
  • Experience working with U.S.-based construction companies.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Experience using Bluebeam.
  • Experience using On-Screen Takeoff (OST) or similar takeoff software.
  • Strong organizational and documentation management skills.
  • Excellent written and verbal English communication skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • High attention to detail and strong follow-through.
  • Ability to work independently with minimal supervision.
Nice-to-Have (Bonus Skills)
  • Experience in millwork, cabinetry, casework, countertops, woodworking, or architectural manufacturing.
  • Knowledge of construction project workflows from award through completion.
  • Experience supporting purchasing and procurement functions.
  • Familiarity with vendor management and subcontractor coordination.
  • Experience using AI tools such as Microsoft Copilot or similar platforms.
  • Experience supporting project managers in commercial construction environments.
