Job Summary: We are looking for a sharp and dependable Admin & Appointment Setter to support our daily operations and keep our calendar running smoothly and efficiently. This role blends core administrative responsibilities with proactive outbound outreach and appointment scheduling — making it an ideal fit for someone who is organized, personable, and confident communicating with both prospects and existing clients.

The right candidate is highly responsive, detail-driven, and able to juggle multiple priorities simultaneously without sacrificing quality.

Key Responsibilities:

  • Manage calendars and schedule appointments accurately across multiple time zones
  • Conduct outbound outreach via email, SMS, and phone to secure qualified appointment bookings
  • Follow up with leads to confirm upcoming appointments and reduce no-show rates
  • Qualify inbound leads and route them to the appropriate team members
  • Keep CRM records, contact lists, and lead pipelines accurate and consistently up to date
  • Handle inbox management, email correspondence, and prioritize incoming messages effectively
  • Prepare meeting agendas, take organized notes, and follow up on outstanding action items
  • Coordinate scheduling efficiently between internal team members and external contacts
  • Provide general administrative support including data entry and document handling
  • Track appointment-setting activity and deliver regular performance reports

Mandatory Skills:

  • Demonstrated experience in an administrative assistant and/or appointment setter role
  • Excellent verbal and written English communication skills
  • Strong calendar and scheduling management capabilities across multiple time zones
  • Hands-on experience with CRM tools such as HubSpot, GoHighLevel, Salesforce, or comparable platforms
  • Comfortable managing email inboxes and maintaining well-organized communication systems
  • Lead qualification skills and confident, professional sales communication
  • Reliable, detail-oriented, and capable of working independently with minimal direction
  • A professional, friendly, and polished phone manner

Preferred Skills:

  • Experience with cold outreach or outbound calling
  • Familiarity with scheduling tools such as Calendly, Acuity, or GoHighLevel calendars
  • Prior experience working within sales pipelines and structured lead tracking systems
  • A customer service background
  • Working knowledge of Google Workspace and standard productivity tools
  • Ability to manage multiple concurrent projects without sacrificing quality or responsiveness
