Responsibilities:

  • The Sales Administrator will support the Sales and Administration teams by reducing administrative workload, ensuring accurate documentation, and assisting with procurement and compliance tasks. This role is primarily focused on collating and preparing documentation for quotes, purchase orders, and other standard processes, allowing sales and admin teams to focus on client-facing and strategic work.
  • Assist the Sales team with quoting processes by collating information for Statements of Work (SOWs), quotes, and other standard documentation.
  • Support procurement by preparing standard purchase orders and managing relevant documentation.
  • Aid the administrative team with compliance tracking and other ad hoc administrative tasks, if workload allows.
  • Ensure accurate collation and organization of data using standardized Bill of Materials (BOMs) and estimation templates.
  • Collaborate with the sales team to ensure timely submission of documentation.
  • Audit and verify information completeness and flag inconsistencies

Requirements:

  • Prior experience in administrative or operational support, preferably in sales or procurement environments.
  • Strong attention to detail, especially in data collation and compliance tasks.
  • Comfortable using cloud-based productivity and accounting tools.
  • Good organizational and time management skills.
  • Ability to communicate effectively
  • Google Suite (Docs, Sheets, Shared Drives)
  • Xero (or other accounting software)
  • Jira Service Management (or other system)

Work Arrangement:

  • Monday to Friday, 5:00 am to 2:00 pm PHT, should complete nine 9 hours work, inclusive of one 1 hour lunch break
  • Onsite
