Role Overview
As we enter an exciting phase of expansion, we are looking for a driven, systems-oriented Operations Manager to help professionalize, scale, and optimize the business. Working closely with the Company Directors and CEO, this role leads company-wide operational initiatives and ensures people, processes, and performance are aligned for growth.
The Operations Manager serves as the central execution and coordination hub across operations, sales, and HR support functions—connecting management, distributors, suppliers, and internal teams. This role drives operational efficiency, ensures data accuracy and compliance, supports sales execution, and keeps day-to-day business running smoothly.The ideal candidate is highly organized, analytical, and people-oriented, with the ability to manage multiple priorities and turn strategy into consistent execution.
Key Responsibilities- Operations Leadership & Execution
- Oversee day-to-day business operations to ensure smooth, efficient, and consistent execution across all departments.
- Develop, implement, document, and continuously improve operational policies, SOPs, systems, and workflows.
- Ensure operational discipline, follow-through, and accountability at all levels of the organization.
- Act as the central point of coordination between management, internal teams, distributors, and suppliers.
- Run Weekly MAP Meetings and track operational KPIs, priorities, and execution status.
- Strategic Sales Ops Alignment & Project Management
- Work closely with the CEO and Company Directors to translate strategic goals into actionable operational plans.
- Lead and manage cross-functional projects, ensuring timelines, budgets, and quality standards are met.
- Drive process optimization, automation, and digital transformation initiatives.
- Identify operational gaps, risks, and bottlenecks; recommend and implement solutions proactively.
- Support business scaling initiatives, including new brands, teams, and departments.
- Act as an operational support partner to sales leadership to remove execution bottlenecks.
- Foster a high-performance, values-driven culture aligned with company standards.
- Serve as the CEO's operational extension—ensuring execution discipline, visibility, and follow-through.
- Assist in preparing reports, dashboards, SOPs, presentations, and executive documentation.
- Monitor execution of leadership directives and escalate issues or risks proactively.
- Uphold confidentiality, integrity, and professionalism in all executive and people-related matters.
- Finance, Admin & Compliance Oversight
- Maintain and ensure compliance with SEC, BIR, City Hall, and other government-related permits.
- Oversee office administration, procurement, logistics, and importation-related processes.
- Manage vendor relationships, contracts, renewals, and service performance.
- Supervise operational finance processes including invoicing, receivables, payables, and basic reporting.
- Ensure proper documentation, record-keeping, and renewal of licenses, permits, and compliance requirements.
- Maintain office facilities, safety, hygiene, and overall workplace standards.
- Availability & Reliability (be proactive and accessible)
- Inventory Supply Health (no running out of core products)
- Accuracy and timeliness of inventory and sales data
- Timeliness of weekly reports and KPI dashboards
- Speed and quality of assigned tasks
- Efficiency improvements or SOP enhancements implemented quarterly
- Compliance and document completion rate
- Office standards (readiness for government or regulatory visits)
- Have 5+ years of experience in end-to-end Operations management (preferably in sales-driven organizations)
- Understand Philippine compliance laws
- Have strong communication and organizational skills
- Have high emotional intelligence
- Have excellent reporting abilities
