Job Summary

The Executive Assistant provides high-level administrative and operational support to the Executive and Management Team. This role ensures smooth daily operations, proper coordination, and confidentiality of company matters. The ideal candidate is highly organized, proactive, detail-oriented, and able to handle sensitive information with professionalism.

Responsibilities

Administrative & Executive Support
  • Manage executive calendars, schedules, and appointments.
  • Prepare correspondence, reports, presentations, and internal documents.
  • Handle incoming calls, emails, and visitors professionally.
  • Organize meetings, prepare agendas, and take minutes when required.
  • Monitor deadlines and follow up on assigned tasks and commitments.
Coordination & Communication
  • Act as a liaison between the executive and staff, clients, and partners.
  • Coordinate with different departments regarding instructions and priorities.
  • Ensure timely dissemination of executive directives.
  • Assist in organizing company events, meetings, and trainings.
Records & Documentation
  • Maintain proper filing of confidential records and company documents.
  • Draft memos, notices, and internal communications.
  • Prepare HR, operations, or management-related documentation as needed.
  • Safeguard sensitive company and employee information.
Operational Support
  • Assist in monitoring daily operations and branch concerns.
  • Track reports such as attendance, sales summaries, and performance metrics.
  • Support implementation of company policies and procedures.
  • Perform other tasks assigned by Management that are related to operations and administration.
Qualifications
  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • At least 1–2 years experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Computer literate (MS Word, Excel, PowerPoint, email systems).
  • Trustworthy, discreet, and able to handle confidential information.
  • Professional appearance and demeanor.
  • Willing to work onsite and extend hours when required.
