Schedule: Morning Shift
Job Description:
- To manage the day-to-day back-of-house administration functions of the business, providing a high level of support to the sales, finance and operations teams.
- Daily Consumer Sales Tasks
- Monitor, action and respond to New Driver and Driver Applications and email queues
- Enter new driver lead enquiries into CRM, and assign them to the consumer sales team
- Monitor and communicate via email with New Drivers who have created quotes in Auto-Pilot
- Enter finance applications, working between CRM and financier portals
- Prepare lease documentation, email, and respond to leaseholders
- Order fuel cards
- Daily Corporate Sales Tasks
- Monitor, action and respond to Corporate, Corporate Support and Accounts email queues
- Enter new employer lead enquiries into CRM, assign to the corporate sales team
- Update CRM with all New Employer details when a new Employer Agreement is received
- Update Catch-e with all New Employer details when a new Employer Agreement is received
- Facilitate Driver Terminations
- Periodic Admin Support Tasks
- Prepare Customer Rentals for payment in Catch-e and Bank
- Reconcile Customer Rental payments in Catch-e against the Bank
- Review and process Driver reimbursements in Catch-e and Bank
- Review, post and pay Suppliers in Catch-e and Bank
- Review and prepare invoices for payment and reconciliation
- Audit and prepare reconciliation of Driver Funds versus Bank versus Catch-e
- Prepare a Comprehensive Insurance Report for the supplier
- Review and upload fuel card and maintenance provider transactions into Catch-e
- Investigate and respond to Accounting Ageing Reports
Qualifications and requirements:
- Very good proficiency in the spoken and written English language
- Competent at using CRM systems (Microsoft CRM Dynamics is ideal, not essential)
- Competent in Microsoft Excel
- High IT literacy
- Strong attention to detail
- Systematic approach / process-driven
- Fast learner
- Self-managing
- Hard worker
- Punctual
- Experience using Xero would be a bonus but is not essential
- Must be willing to undergo a police/criminal background check
Non-negotiable skills and requirements:
- 3 years' experience in administrative, back-office, or operations support roles
- Previous exposure to sales support, finance/admin, or CRM-based environments
- Familiarity with processing applications, documentation, and client communications
