SECRETARY FOR TRUCK DELIVERY/WAREHOUSE OFFICE
General Function:
The Secretary for Truck Delivery/Warehouse is responsible for coordinating delivery operations, maintaining accurate records, supporting office administration, and ensuring proper monitoring of warehouse and truck activities. The position acts as a key link between drivers, helpers, management, suppliers, and customers.
Responsibilities:
- Rides with the delivery truck and ensures that all assigned customers are served and deliveries are completed properly and on time.
- Prepares and writes sales invoices accurately for each customer transaction.
- Collects payments and other collectibles and ensures proper remittance of sales invoices and collections to the office.
- Maintains a jolly, warm, and respectful attitude toward customers at all times.
- Listens to customer concerns, complaints, or requests and addresses issues professionally during delivery when possible.
- Ensures customer satisfaction and helps prevent customers from transferring to competitors through good service and proper coordination.
- Immediately relays customer concerns, problems, shortages, or issues to management or the office for prompt action.
- Monitors delivery flow and ensures deliveries are not delayed due to negligence, poor coordination, or improper documentation.
- Assists the driver in ensuring accurate delivery, proper documentation, and smooth customer transactions.
- Record all incoming and outgoing stocks from the warehouse.
- Maintain updated inventory logs and ensure records match physical stock.
- Prepare and file warehouse documents such as stock release forms, delivery slips, and inventory reports.
- Assist in counting, checking, and reconciling warehouse stocks regularly.
- Monitor and record returned, damaged, or defective items.
- Coordinate with delivery personnel regarding stock releases and returns.
- Report shortages, discrepancies, damages, or irregularities immediately to management.
- Maintain organized filing of all warehouse records and documents.
- Assist in preparing daily, weekly, and monthly inventory reports.
- Ensure warehouse documentation is complete before and after deliveries.
