Job Description
We are seeking a highly organized and detail-oriented Centralized Administrative Assistant to provide administrative and clerical support. This role is ideal for candidates with prior administrative experience, particularly within medico-legal, healthcare, insurance, legal, or related professional services settings.
The successful candidate will be responsible for preparing documents and correspondence, organizing files, coordinating tasks, assisting in claims management, and ensuring compliance with established protocols and procedures. Strong communication skills, attention to detail, and the ability to work efficiently in a fast-paced environment are essential.
Key Responsibilities- Provide day-to-day administrative and clerical tasks
- Prepare emails, correspondence, applications, and other legal or administrative documentation.
- Coordinate with team leads and stakeholders to ensure tasks are completed accurately and efficiently.
- Organize, maintain, and manage documents, records, and case-related files.
- Ensure compliance with company manuals, procedures, and client protocols.
- Review documents for accuracy and completeness.
- Answer, screen, and direct phone calls professionally.
- Apply problem-solving and analytical skills to administrative and case-related matters.
- Perform other administrative duties and ad hoc tasks as assigned by the client.
- Bachelor’s degree in any discipline (Law degree or legal background is not required).
- At least 1–2 years of administrative experience, preferably in a medico-legal, legal, healthcare, insurance, claims, or professional services environment.
- Experience handling documentation, records management, claims processing, or case administration is an advantage.
- Willing to work during Australian business hours.
- Strong aptitude for learning new concepts, processes, systems, and technology.
- Excellent organizational, time management, and multitasking skills.
- Exceptional attention to detail and ability to follow established procedures.
- Strong verbal and written English communication skills.
- Professional, proactive, and capable of working independently and collaboratively within a team.
- Exposure to medico-legal, healthcare administration, insurance claims, workers’ compensation, personal injury, or legal support functions.
- Experience supporting lawyers, solicitors, healthcare professionals, or claims teams.
- Familiarity with document management systems, CRM platforms, or case management software.
- Work with an Australian-based legal services team.
