Job Description:
The Warranty Clerk is responsible for the accurate preparation, submission, and administration of warranty claims in accordance with manufacturer and dealership policies. This role ensures timely recovery of warranty revenue, compliance with OEM requirements, and effective communication between the service department, manufacturer, and internal stakeholders.
Key Responsibilities
Warranty Processing & Administration- Prepare, submit, and follow up on automotive warranty claims in accordance with manufacturer guidelines
- Ensure all warranty claims are supported by accurate documentation, including repair orders, technician notes, diagnostic reports, and parts usage
- Monitor claim status and resolve rejected or adjusted claims promptly
- Maintain accurate records of all warranty transactions and supporting documentation
- Ensure compliance with OEM warranty policies, procedures, and audit requirements
- Keep up to date with warranty bulletins, policy updates, and procedural changes
- Assist with manufacturer warranty audits and respond to audit queries as required
- Liaise with OEM warranty teams and technical support when needed
- Work closely with Service Advisors and Technicians to ensure warranty repairs are processed correctly
- Provide guidance to workshop staff on warranty eligibility, claim requirements, and documentation standards
- Review repair orders to confirm warranty applicability prior to claim submission
- Monitor warranty recovery performance and identify trends or issues affecting recovery rates
- Assist in reconciling warranty credits, debits, and manufacturer payments
- Support service management with warranty reporting and KPI tracking
- Identify and recommend process improvements to increase warranty recovery and reduce claim rejections
- Maintain a high level of accuracy and attention to detail in all warranty administration tasks
- Ensure confidentiality and integrity of warranty and customer records
Qualification and requirements:
Desirable- Experience with OEM warranty systems (e.g. passenger vehicles, trucks, or commercial vehicles)
- Automotive or mechanical industry knowledge or trade background
- Experience supporting warranty audits
- Certificate or training in automotive administration or business
- Warranty claim acceptance and recovery rate
- Timeliness of claim submission
- Reduction in rejected or adjusted claims
- Accuracy and completeness of documentation
- Compliance with OEM warranty standards
Non-negotiable skills & requirements:
Essential- Previous experience as a Warranty Clerk or Service Administrator in an automotive environment
- Strong understanding of automotive warranty processes and manufacturer requirements
- High attention to detail and accuracy
- Strong organisational and time‑management skills
- Excellent communication skills (written and verbal)
- Proficiency in Dealer Management Systems (DMS) and basic Microsoft Office applications
