Location: Remote (We're Australian-born but operate as a remote-first company with team members across Australia, New Zealand, and the Philippines)

Role Overview:

As the Executive Assistant to the Managing Director at EngineRoom, you will be the central figure ensuring the smooth operation of the Managing Director’s daily activities. Your responsibilities will include managing the MD’s schedule, coordinating high-level meetings, handling communications, and providing comprehensive administrative support.

You will act as a gatekeeper and trusted advisor, enabling the Managing Director to focus on strategic initiatives that drive the growth and success of EngineRoom.

Key Responsibilities:

  • Calendar and Schedule Management: Efficiently manage the Managing Director’s calendar, schedule meetings, and coordinate travel arrangements.
  • Communication Management: Serve as the primary point of contact for the Managing Director, handling emails, phone calls, and correspondence with discretion and professionalism.
  • Meeting Coordination: Organise and coordinate high-level meetings, prepare agendas, take minutes, and ensure follow-up on action items.
  • Travel and Event Planning: Arrange complex travel itineraries and coordinate events, ensuring all logistics are meticulously handled.
  • Document Management: Maintain and organise important documents, files, and records for the Managing Director.
  • Project Support: Assist with special projects as directed by the Managing Director, providing regular updates on progress and ensuring deadlines are met.
  • Financial Management: Handle expense reports, budget tracking, and invoice processing for the Managing Director.
  • Confidentiality: Manage sensitive information with the utmost discretion, maintaining confidentiality in all matters.
  • Relationship Management: Build and maintain strong relationships with internal and external stakeholders on behalf of the Managing Director.

Key Skills and Qualifications:

  • Proven experience as an Executive Assistant or in a similar role, supporting senior executives, preferably at the Managing Director level.
  • Exceptional organisational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and virtual meeting platforms.
  • Strong attention to detail and a high level of discretion.
  • Ability to anticipate needs, think critically, and proactively solve problems.
  • Strong interpersonal skills and the ability to build and maintain relationships at all levels.
