Job Summary

The Data Analyst – supports the Accounting Team by ensuring inventory accuracy, system compliance, and adherence to internal inventory controls across stores and warehouses. This role performs regular inventory checks, monitor inventory transaction in the ERP system, and investigate discrepancies or variances.

Also works closely with store personnel, warehouse staff, and accounting to ensure that inventory movements are properly recorded, documented, and complaint with company policies, helping maintain reliable inventory within a retail environment.

Key Responsibilities

Inventory Compliance & Monitoring
  • Conduct regular inventory compliance checks across stores and warehouses, ensuring adherence to company inventory policies and procedures.
  • Perform regular and random store audits to validate inventory movements and documentation.
  • Review open and pending deliveries to ensure transactions are properly recorded in the system.
  • Verify that inventory transactions are recorded on the correct dates and supported by proper documentation.
  • Issue Notices to Explain (NTE) for compliance violations and monitor resolution and penalties where applicable.
Inventory Variance Investigation
  • Review and analyze inventory discrepancies and variances identified during cycle counts, stock takes, and operational reviews.
  • Coordinate with store personnel and warehouse teams to validate discrepancies and identify root causes.
  • Ensure inventory adjustments are properly documented, approved, and recorded in the system.
  • Monitor recurring variance issues and recommend corrective actions to reduce shrinkage and operational errors.
ERP & System Compliance
  • Ensure that all inventory-related transactions are properly recorded in the ERP system and aligned with operational processes.
  • Monitor system usage to detect improper entries, delayed postings, or non-compliance with standard procedures.
  • Identify system or process gaps affecting inventory accuracy and escalate issues to management.
  • Support the accounting team in maintaining accurate inventory records for financial reporting purposes.
  • Prepare inventory audit reports summarizing findings, discrepancies, and compliance issues.
  • Provide regular updates to the Accounting Team on store compliance, audit results, and corrective actions taken.
  • Work closely with store operations, warehouse staff, and accounting to ensure timely resolution of inventory-related issues.
  • Support initiatives that improve inventory controls, audit processes, and operational efficiency.
Qualifications
  • Bachelor’s degree in Accountancy, Accounting Information Systems, Finance, or a related field.CPA or relevant certifications are an advantage but not required.
  • Basic knowledge of inventory accounting and internal control procedures.
  • Familiarity with ERP or inventory management systems (e.g., SAP, QuickBooks, or similar systems) is preferred.
  • Strong analytical and reconciliation skills to identify discrepancies and investigate variances.
  • Proficiency in Microsoft Excel or similar tools for tracking and reporting inventory findings.
  • Ability to prepare clear audit reports and communicate findings to management.
