Job Summary:

The Executive and Administrative Assistant provides high-level administrative and executive support to the Chairman and to the HR Director performing administrative and office functions, and overseeing special projects. This role requires a highly organized, proactive individual with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities:

  1. Administrative Support:
  • Manage and maintain schedules
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Handle incoming and outgoing communications
  1. Meeting Coordination:
  • Organize and coordinate meetings
  • Arrange conference calls and video conferences
  1. Project Management:
  • Assist in planning and executing special projects
  • Conduct research, compile data, and prepare reports
  • Monitor project progress and provide regular updates
  1. Travel Arrangements:
  • Arrange domestic and international travel
  • Ensure travel plans align with executives' schedules and preferences
  • Handle travel-related issues and changes promptly and efficiently
  1. Document Management:
  • Maintain confidential files and records
  • Develop and implement systems for document management and organization
  1. Office Management:
  • Oversee office operations and procedures
  • Order office supplies, manage inventory, and coordinate with vendors
  1. Communication and Liaison:
  • Serve as a liaison between executives and other departments and clients
  • Build and maintain positive relationships with internal and external stakeholders

Job Qualifications:

Bachelor’s degree in Business Administration, Management, or a related field

Minimum of 5 years of work experience as an executive assistant or in a similar role supporting senior executives
Experience with travel arrangements and project management is a plus

Experience in administrative roles, project management, or customer service
