Responsible for receiving and checking authenticity of all requests from different departments.
  • Responsible for updating department heads on status of request.
  • Responsible for ensuring that a systematic record and maintenance system is in place.
  • Responsible for coordinating and clarifying items in need with department heads concerned.
  • Gather quotes, bids and offers from suppliers and forwards these to the Purchasing Manager for review and action.
  • Responsible for monitoring market changes, competitor prices and products, and past sales patterns to forecast future demand.
  • Responsible for conforming to the Code of Conduct as outlined in the Employee Handbook and section orientation in the performance of duties and responsibilities.
  • Prepares Purchase Orders.
  • Maintains an updated record of prices of items of each supplier.
  • Assists in typing and encoding all requests from different departments and has it approved and released once received with matching specs.
  • Schedules appointments with the suppliers for the delivery schedules.
  • Assists suppliers in preparation of contract documents, bid forms, request for quotations and other purchasing-related documents and sees to it that all documents are released to the concerned departments after having sought the approval of the Finance Manager.
  • Updates and maintains the supplier’s files regularly.
  • Maintain good relations with employees within the department and across other departments.
  • Provides assistance to co-employees and trainees within the Finance Department and amongst other departments to foster team work and success of the Club.
