The Document Controller is responsible for managing and maintaining accounting-related documents and records in an organized, secure, and efficient manner. This role ensures proper filing, tracking, and retrieval of financial documents to support accounting operations and compliance with company policies and audit requirements.

Responsibilities:

  • Maintain an organized filing system (physical and digital) of accounting documents such as invoices, receipts, vouchers, purchase orders, and other financial records.
  • Log, track, and monitor document flow to ensure all records are properly received, reviewed, and archived.
  • Ensure that all documents are properly labeled, indexed, and stored in accordance with accounting and company standards.
  • Support the accounting team in preparing and retrieving documents for audits, financial reporting, and internal reviews.
  • Monitor document control procedures to ensure data accuracy and consistency.
  • Coordinate with other departments to collect and file accounting-related documents as needed.
  • Ensure confidentiality and security of all accounting files and sensitive information.
  • Perform clerical and administrative tasks as may be assigned by the Accounting Manager or immediate superior.

Minimum Qualifications:

  1. Bachelor’s degree in Accountancy, Business Administration, Office Administration, or related field.
  2. At least 1 year of experience in clerical, administrative, or document control work (preferably in an accounting or finance setting)
  3. Basic knowledge of accounting documents and record-keeping procedures is an advantage.
  4. Proficient in MS Office applications (Word, Excel).
  5. Strong attention to detail, organization, and accuracy.
  6. Ability to handle confidential information with integrity.
  7. Good communication and coordination skills.
