Qualifications:
- Bachelor’s Degree in Business Administration, Public Administration, Management, or related field
- At least 5–8 years of progressive administrative experience, preferably in large-scale construction or government infrastructure projects
- Strong knowledge of office administration, document control systems, records management, and procurement processes
- Familiar with government procedures and compliance requirements; DPWH guidelines is an advantage
- Proficient in MS Office (Word, Excel, PowerPoint) and document management systems
- Strong leadership, organizational, coordination, and communication skills
- Able to manage teams and handle multiple administrative functions simultaneously
- Detail-oriented, highly reliable, and capable of handling confidential information
Duties and Responsibilities:
- Assist in overseeing overall administrative operations of the project site office
- Supervise administrative staff including clerks, document controllers, and support personnel
- Ensure proper implementation of document control, filing systems, and records management procedures
- Coordinate with administrative requirements
- Review and monitor compliance with company policies, DPWH guidelines, and project procedures
- Assist in procurement administration, including purchase requests, canvassing, and documentation
- Monitor incoming and outgoing correspondence, reports, and official project documents
- Assist in budget tracking related to office administration and support services
- Organize meetings, prepare agendas, and ensure accurate minutes and documentation
- Ensure proper safekeeping of confidential records and project documents
- Support audits, inspections, and reporting requirements
- Recommend improvements in administrative processes and workflow efficiency
- Perform other duties as assigned by the Project Manager
