We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to provide high-level support to our executive leadership team. This role goes beyond traditional administrative support - it's an opportunity to become a strategic partner who drives efficiency, ensures seamless day-to-day operations, and plays a key role in supporting company initiatives.

About the role
  • Provide dedicated support to executive leaders, with flexibility to assist other members of the leadership team as needed.
  • Optimize internal workflows by developing, refining, and automating processes in collaboration with cross-functional teams.
  • Manage and coordinate complex calendars, including scheduling meetings, interviews, conferences, and travel arrangements to maximize productivity.
  • Prepare and edit correspondence, reports, and presentation materials for both internal and external stakeholders.
  • Support strategic projects and initiatives; act as a reliable project partner from planning to execution.
  • Maintain accurate records, including project documentation, progress updates, and executive communications.
  • Gather, analyze, and present data to support business decisions, utilizing Excel functions such as filtering, sorting, and vlookup.
  • Take comprehensive meeting minutes and manage timely follow-ups with stakeholders.

Minimum Qualifications:

  • 3 to 5+ years of experience as an Executive Assistant or Virtual Assistant supporting C-level executives.
  • Prior experience managing leadership team operations, and collaborating with other leaders and departments.
  • Has experience preparing monthly reports to present to the executive team, and communicating and documenting cross-functional initiatives.
  • Proficient in MS office.

Nice to Have:

  • Background in the healthcare industry and familiarity with EHR systems is preferred.
  • Exceptional written and verbal communication skills.
  • Comfortable working independently and taking initiative in a multicultural, international environment.
  • Strong organizational and planning skills with excellent attention to detail.
  • Proficient in time management, with the ability to prioritize tasks effectively.
  • Skilled in taking meeting minutes and following through with stakeholders.
  • Willingness to work EST hours.
