We are seeking a highly organized and proactive Executive Assistant to support the Director in managing day-to-day priorities, schedules, and administrative responsibilities. This role is ideal for someone who excels at organizing tasks, streamlining workflows, and ensuring that business and personal priorities are well-coordinated.
The successful candidate will have at least 3 years but no more than 5 years of relevant experience, with a strong ability to operate independently while maintaining professionalism and confidentiality.
Job Duties
Executive & Administrative Support- Provide high-level administrative support, including calendar management, scheduling, and coordination of appointments
- Organize and maintain files, documents, and records for easy retrieval
- Prepare and edit correspondence, reports, and presentations
- Act as a key point of contact on behalf of the Director for internal and external stakeholders
- Support meeting discussions by being familiar with company services and priorities
- Calendar & Coordination Management
- Manage and prioritize the Director’s schedule to ensure effective use of time
- Coordinate meeting logistics, including agendas, materials, and follow-ups
- Track action items and ensure timely completion
- Screen, prioritize, and manage emails, messages, and calls
- Draft and respond to communications on behalf of the Director when required
- Handle sensitive information with strict confidentiality
- Arrange travel (flights, accommodation, itineraries) when required
- Ensure smooth coordination of schedules and logistics
- Assist with expense tracking and documentation
- Task & Project Coordination
- Help organize ongoing tasks, projects, and deadlines
- Conduct basic research and prepare summaries or reports
- Assist in coordinating events, meetings, or business activities
- Maintain organized contact lists and stakeholder records
- Build professional relationships with internal teams and external partners
Qualifications/Requirements
Qualifications and Skills- Bachelor’s degree or equivalent work experience preferred
- Minimum proven 1-2years of experience as an Executive Assistant to a Director in an IT Service and AI Digital Consulting company (preferred)
- Strong organizational and time management skills
- Excellent written and verbal English communication
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and manage competing priorities
- High attention to detail and problem-solving ability
- Proactive, resourceful, and reliable
- Comfortable working independently with minimal supervision
- Strong sense of discretion and professionalism
