Job Description:

  1. Admin Support Services and Responsibilities
  • Provides general administrative support to day to day operations to Management and staff/team.
  • Acts as the main point of contact or front liner for visitors and callers, including reception duties.
  • Processes, facilitates and monitors transactions pertaining to in and out communication, internal facilities and other relevant utilities.
  • Responsible in handling and safekeeping of admin-related contracts and business directory.
  • Maintains the inventory management of office supplies.
  • Handles admin events/company activities.
  • Assist Executive on operational requirements
  1. Building/Office Maintenance, Vehicle and Office Equipment Maintenance
  • Supervises the routine and preventive maintenance of building facilities, office equipment and necessary repair.
  • Ensures that through the reports from commercial officers and general services officer in charge of vehicle the company vehicles are maintained and immediately reports and coordinates necessary repair/maintenance action.
  • Coordinates and canvasses with service providers and suppliers for the purchase/repair/disposal of office equipment.
  • In-charge in monitoring/safekeeping the contracts/service agreements with service providers and suppliers.
  • Supervises the kitchen pantry supplies and maintenance tools and equipment inventory.
  1. External / Corporate Activities
  • Liaises with government agencies/entities relative to legal compliances/permits/licenses of the company.
  • Coordinates with service providers/suppliers for the requirements of the company.
  1. Executive Assistance Activities such as Corporate and Documents Custodian and Action Activities
  • Assists and liaises with the Legal Officer and/or the Corporate Secretary’s Office for legal corporate documentation as required by and/or Corporate requirements and/or Commercial Services activities and compliances.
  1. Performs other administrative related work functions as may be required or as determined by the Company from time to time.

Required Education, Skills, and Qualifications:

  1. Must possess at least a Bachelor’s/College Degree in Business Studies/ Administration/ Management, Commerce or equivalent
  2. With at least three (3) years work experience specializing in Clerical/Administrative Support or equivalent
  3. Advanced knowledge in administration management and on legal legislation's relating to property and building maintenance;
  4. With good understanding on Import & Export processing and documentation
