We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. This role provides essential support to the organization by managing administrative functions and ensuring the smooth handling of billing and collections.
JOB DESCRIPTION
The Administrative Assistant will be responsible for overseeing day-to-day administrative operations and supporting the billing and collection process. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
Key Responsibilities:
- Handle general administrative tasks, including maintaining files, records, and documentation.
- Manage office supplies, equipment, and inventory to ensure smooth office operations.
- Prepare and process billing statements and invoices accurately and timely.
- Monitor outstanding accounts and follow up with clients for payment collection.
- Reconcile accounts and ensure accuracy in billing and collection records.
- Respond to client inquiries and resolve billing discrepancies promptly and professionally.
- Assist in preparing financial and administrative reports as required.
- Coordinate with the Finance and Accounting teams to ensure proper recording of payments and collections.
- Provide administrative support to other departments as needed.
- Ensure compliance with company policies and procedures in all administrative and billing activities.
QUALIFICATIONS:
- Bachelor’s degree in any field.
- 6 months to 1 year of experience in administrative support, billing, or collections (fresh graduates with strong credentials are welcome to apply).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and business software applications.
- Strong analytical and problem-solving skills with keen attention to detail.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- High level of professionalism and discretion in handling sensitive information.
- Ability to work independently and manage multiple tasks effectively.
- Experience with billing and collection systems is an advantage.
