As a Loan Processor / File Manager (Mortgage), you will take full ownership of mortgage applications from submission to settlement-ensuring every file progresses smoothly, accurately, and on time. You'll work closely with advisers, lenders, and clients to keep deals moving while maintaining precision across documentation and communication.

The Qualifications We Seek
  • Minimum 3 years' experience in mortgage processing, adviser support, or similar
  • Strong understanding of lender processes and documentation
  • Experience managing applications through to approval and settlement
  • Highly organized with strong attention to detail
  • Confident communicator with clients, lenders, and stakeholders
  • Ability to manage multiple applications in a fast-paced environment
  • Strong written and verbal English communication
Highly Desired Experience
  • Experience with New Zealand or Australian mortgage lending
  • Broker environment experience (preferred over bank-only experience)
  • Experience drafting lender submission notes
  • Experience with Trail CRM or similar systems

Systems Knowledge

Required:

  • CRM experience (any platform)
  • Microsoft Office

Preferred:

  • Trail CRM
  • Document management systems
Your Daily Tasks
  • Taking ownership of applications from submission through to settlement
  • Managing and progressing files across all stages of the lending process
  • Submitting applications to lenders and preparing supporting documentation
  • Liaising with lenders, clients, solicitors, and third parties
  • Keeping clients informed and confident throughout the process
  • Maintaining accurate CRM (Trail) records and documentation
  • Identifying issues early and resolving them to avoid delays
  • Supporting advisers by maintaining momentum across all active files
Day-to-Day Responsibilities
Daily
  • Review and prepare client applications
  • Request and follow up on missing documents
  • Draft lender submission notes using templates
  • Communicate with clients, lenders, and solicitors
  • Update CRM (Trail) with notes and progress
Weekly
  • Manage pipeline of active applications
  • Identify at-risk deals and escalate early
  • Ensure all files are progressing toward approval
Monthly
  • Review pipeline performance and turnaround times
  • Identify recurring delays or issues and suggest improvements
  • Complete compliance requirements and close files
