Technical Services Admin (Facilities & Property Management)

Job Description

We are looking for a dependable and detail-oriented Technical Services Admin to support our Australian Facilities Management team. The ideal candidate has experience in building or property administration and a strong grasp of technical coordination, invoicing, and system support.

Responsibilities
  • Lodge and process invoices for the Technical Services Department.
  • Handle chargebacks for AFSS, overtime, and plant registrations.
  • Coordinate monthly FM meetings (agenda and minutes).
  • Manage Strata invoicing and AFSS charges for specific properties.
  • Track and maintain department’s annual leave register.
  • Assist with project invoicing and provide admin support to the Director of Technical Services.
  • Monitor the Engineering inbox and coordinate communications.
  • Oversee plant item registrations (SafeWork NSW) and certificate issuance.
  • Support Property Managers (PMs) and Facility Managers (FMs) in myBuildings system.
  • Provide training and user support for myBuildings and related platforms.
  • Manage vendor onboarding in myBuildings, CM3, and MRI.
  • Assist with CM3 and MRI enquiries and resolve vendor disbursement issues.
  • Support the Tenant Help Desk coordinator with admin tasks.
  • Update Site-Specific Manuals quarterly with PMs and FMs.
  • Work with external providers and assist in system maintenance.
  • Handle uniform requests for FM staff and keep contract registers updated.
  • Assist with ad hoc admin tasks from the Director of Technical Services.
Qualifications and Experience
  • Experience in facilities or building administration (commercial or condo setting).
  • A relevant bachelor’s degree (Engineering, Property, or similar).
  • Excellent verbal and written English communication skills (9/10 minimum).
  • Basic understanding of building systems like lifts and HVAC.
  • Familiarity with tools like myBuildings, CM3, and MRI is an advantage.
  • Strong attention to detail and ability to work with multiple teams.
