- Bachelor's degree from a four-year college or university is preferred but not required
- Minimum 3 years of relevant experience in leasing coordination, customer service, or administrative support within a U.S.-based real estate firm or property management company
- Must be highly organized, especially in managing communication logs, follow-ups, and document tracking
- Prior experience in responding to inbound leasing requests, scheduling tours, and coordinating with prospective tenants is strongly preferred
- Must be a self-starter, capable of handling workflows independently while liaising effectively with leasing managers, property teams, and ownership
- Comfortable managing information across multiple communication channels and platforms such as email, phone, CRM, and leasing portals
- Proficient in Microsoft Office Suite, especially Outlook for email management and Excel for basic tracking and reporting
- Experience with tenant management platforms such as TenantCloud, Buildium, and AppFolio
- Familiarity with lead tracking tools or CRMs to manage leasing pipelines and communication workflows
- Knowledge of online listing platforms like Apartments.com, Zillow, and Facebook Marketplace is a plus
- Experience using online scheduling tools such as Calendly and Google Calendar to coordinate property tours and meetings
- Prior exposure to QuickBooks Online is a plus but not required
- Serve as the primary point of contact for inbound leasing inquiries via email, website forms, and phone
- Schedule and coordinate property tours with prospective tenants, ensuring smooth communication between prospects and on-site staff
- Respond promptly and professionally to leasing inquiries, providing detailed information about property features, availability, rental terms, and application requirements
- Assist prospects through the application process, including document collection, application tracking, and status updates
- Coordinate lease signing and onboarding with the corporate leasing and operations team
- Maintain an organized CRM or leasing pipeline tracker to manage communication follow-ups, next steps, and pending tasks
- Conduct market research to keep leasing materials up to date with competitive rent comps, promotions, and availability across comparable properties
- Provide weekly reports summarizing inbound traffic, tours scheduled, applications received, and current pipeline status
- Collaborate with marketing teams to audit property listings on platforms such as Apartments.com, Zillow, and Facebook Marketplace to ensure accuracy and visibility
- Assist in basic data management tasks such as maintaining updated property availability sheets and lease-up tracking
- Upload and maintain tenant software such as Tenant Cloud, Buildium, and AppFolio
- Work with asset management and property management teams to create, issue, and own existing tenant communication including quarterly check-ins, introduction emails, renewal emails, and similar updates
