Job Description

As an Offshore Scheduler, you will manage end-to-end scheduling operations, ensuring efficient job assignments, compliance checks, and smooth client communication. With precision planning and proactive follow-ups, you'll play a vital role in keeping service delivery on track.

The Qualifications We Seek
  • At least 1 year experience in scheduling or coordination roles, preferably in a trade services or facilities management environment
  • Familiarity with AroFlo or similar job management software (training can be provided)
  • Strong working knowledge of Google Maps for route planning
  • Understanding of industry compliance, including client inductions and license tracking
  • Excellent communication skills and experience using SMS or CRM systems for client engagement
  • Highly organized with attention to detail and the ability to manage multiple tasks concurrently
  • Ability to work independently in a remote/offshore setting and collaborate with onshore teams effectively

Desirable:

  • Prior experience in electrical or plumbing services scheduling
  • Knowledge of Australian trade service regulations and standards
  • Time zone flexibility to align partially with Australian business hours

Your Daily Tasks

Forward Planning
  • Schedule non-urgent service and maintenance tasks in line with operational priorities and technician availability.
Route Optimization
  • Use Google Maps and other tools to plan efficient travel routes and minimize technician downtime.
System Management
  • Manage job bookings and updates using the internal job management system, AroFlo.
Compliance Checks
  • Ensure all scheduled jobs comply with client induction processes and verify licenses and certifications.
Booking Confirmations
  • Confirm appointments via SMS system to maintain clear client communication.
Follow-ups
  • Actively follow up on unconfirmed bookings to reduce risks of no-shows or missed appointments.
Issue Escalation
  • Identify and escalate scheduling conflicts or issues promptly to the onshore team.
Preventative Maintenance Scheduling
  • Coordinate planned preventative maintenance (PPM) for electrical and plumbing services with the operations team.
