Customer Services Administrator (Australian Accounting Firm) (Permanent WFH) - San Jose del Monte

We are currently seeking a motivated and detail-oriented Client Services Administrator to join our team and play a key role in supporting our client services operations. Relevant expense in an Australian accounting firm is a mandatory pre-requisite to applying for this role.

Key Responsibilities:

  • Manage client document e-signing packs (tax, financials, ASIC), including preparation of cover letters and final packs.
  • Draft emails to clients, addressing queries and communicating with the ATO for remissions.
  • Update CRM data in XPM and other tools to ensure accurate client information.
  • Handle corporate compliance tasks such as downloading and sending annual company statements.
  • Provide general office support, assisting both clients and employees with their needs.
  • Upload documents to our document management system for efficient organisation and accessibility.
  • Prepare basic ASIC documents (e.g., change of company details) to support corporate filings.
  • Maintain well-organised files and records to facilitate efficient document retrieval.
  • Assist in the preparation of Group Structure Diagrams to illustrate complex corporate structures.
  • Keep databases up to date with current and accurate information.
  • Interact with clients via email, providing professional and timely responses to inquiries.
  • Prepare various documents and correspondence to support accounting operations.
  • Assist accountants with client follow-up reminders to ensure deadlines are met.
  • Prepare reports for management to support decision-making processes.
  • Undertake other ad hoc administrative tasks as required to support the team.

  • Experience working in a similar role in an Australian accounting firm is mandatory.
  • Proactive, self-motivated, and highly organised with a strong sense of initiative is mandatory.
  • Exceptional attention to detail and organisational skills to manage complex tasks accurately is mandatory.
  • Proficiency in Microsoft Word, Excel, and Outlook to effectively manage documents and communications.
  • Strong written English communication skills with a keen attention to detail.
  • Ability to work efficiently and meet deadlines in a fast-paced environment.
  • High standard of personal presentation and professionalism.
  • Willingness to learn quickly, show initiative, and actively contribute as a positive team player.
  • Positive and enthusiastic attitude, with a self-motivated approach to achieving goals.
  • Highest standards of ethics, confidentiality, and professionalism in all aspects of work.
