Job Description
As an Admin Assistant, you'll support a Financial Director by managing appointments, preparing reports, organizing client records, conducting online research, and maintaining accurate documentation. This hybrid role also involves calling external providers, with no cold calling or sales involved.

- Must be a college or associate graduate
- Have at least 6 months to 1 year of experience in an admin role or call center environment performing data entry and administrative tasks
- Possess strong verbal and written communication skills
- Sound confident on the phone
- Demonstrate excellent customer service skills
- Have experience in client services and administration
- Handle inbound and outbound phone calls (no selling or cold calling involved)
- Preferably have experience working with an Australian-based company
- Advantageous to have experience with an Australian financial company (not required)
- Show high attention to detail
- Track action items for the Director
- Manage appointments and schedules
- Prepare reports and documents
- Follow up and report the status of all action items
- Call external providers to gather information
- Conduct online research and gather information
- Set up client files in the financial planning software (XPLAN)
- Perform data entry and maintain accurate client records
- Prepare client documents, forms, and Excel templates
- Perform various adhoc tasks as assigned
