IMPORT SPECIALIST

Description

The Import Specialist is responsible for ensuring client needs are met while maintaining operational efficiency and profitability. This role may include account-specific projects and requires the ability to manage expedited transactions in compliance with customer expectations and government regulations.

The successful candidate will model and act in accordance with the company’s core values.

Responsibilities:

  • Handle import operations, including all related activities for assigned accounts using a transportation management system; ensure data accuracy and currency.
  • Assess shipment urgency, escalate issues, and provide alternative solutions for time-sensitive shipments.
  • Receive, review, and process international shipments with accurate documentation aligned with government regulations.
  • Maintain and update files using operational software (e.g., CargoWise).
  • Communicate proactively with clients regarding shipment statuses.
  • Maintain and escalate communication with steamship lines and truckers.
  • Coordinate release of goods from carriers, Customs, or other government inspections; arrange and track final delivery.
  • Issue client invoices promptly and follow up on vendor invoices and payments.
  • Identify shipments requiring special documentation or handling.
  • Notify supervisors of any issues or irregularities.
  • Deliver excellent service to internal and external stakeholders.
  • Be available to work more than 40 hours per week as necessary.
  • Provide weekend and holiday operational support as needed.
  • Perform additional duties as assigned.

Required Skills:

  • High School Diploma required; Associate's degree or pursuit of a Bachelor’s in accounting, logistics, or business preferred.
  • 3 to 5 years of transportation or logistics experience preferred.
  • Strong communication and interpersonal skills; ability to work effectively across diverse teams.
  • Capable of managing multiple priorities, meeting deadlines, and problem-solving under pressure.
  • High attention to detail and ability to follow procedures.
  • Proficient in Microsoft Office Suite.
  • Accurate typing and data entry skills.
  • Able to understand complex regulations and draft professional correspondence.
  • Demonstrates customer service excellence and actively seeks feedback for improvement.
  • Creative and proactive problem-solving mindset.
  • Reliable team player who supports others when needed.
  • Consistently punctual and dependable.
  • CargoWise experience and/or bilingual skills are a plus.
