Schedule: Morning shift

Job Description:

To provide high-level administrative and strategic support to the CEO by managing their schedule, communications, and priorities, ensuring optimal use of their time and focus. This role coordinates daily operations, monitors project progress, and serves as a liaison between the CEO and internal/external stakeholders.

The Executive Assistant also supports decision-making by preparing reports, tracking action items, and driving follow-through on key initiatives, while handling sensitive information with utmost discretion and professionalism.

Key Duties & Responsibilities
  • Organize CEO's calendar, time, email, and personal notes
  • Communicate with team members on behalf of the CEO
  • Take high-level meeting minutes
  • Assist the CEO with daily operations
  • Work independently with high-level direction
  • Prepare and deliver accurate, data-driven administrative reports and summaries to support executive decision-making.
  • Provide high-level administrative support to the CEO, including handling confidential information with discretion.
  • Prepare agendas, take minutes, and follow up on action items from meetings.
  • Conduct research and compile information for reports, presentations, and decision-making.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Manage special projects and initiatives as assigned by the CEO.
  • Monitor the progress of various tasks and projects across the firm.
  • Ensure deadlines are met and assist in prioritizing workload.
  • Coordinate with team members to track the status of assignments and deliverables.
  • Provide regular updates to the CEO on tasks and project status.

Qualification and requirements:

  • Minimum of 5 years’ experience as a Personal Assistant, with at least 2 years in an Executive Assistant role.
  • Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Detail oriented with a high level of accuracy.
  • Experience in using ASANA.
  • Ability to work independently and maintain a high level of confidentiality.

Desirable:

  • Experience in Healthcare, NDIS, Aged Care or Out-of-Home-Care is advantageous.
  • Experience with CMS systems (such as MYP, Shiftcare, Lumary, Good Human etc) is advantageous.

Non-negotiable skills & requirements:
